New release! Humanforce Cloud Workforce Management – Version 6.0.70

We’re pleased to announce the release of Humanforce Workforce Management (Cloud) version 6.0.70, delivering important improvements across rostering, timesheets, payroll processing, template management, employee management, and system usability. These updates improve accuracy, strengthen permission controls, enhance compliance checks, and streamline day-to-day workflows for managers, payroll administrators, and system administrators. Back Office to Humanforce Cloud WFM

We continue to bring key Back Office rostering capabilities into Humanforce Cloud to improve flexibility, fairness, and efficiency in workforce planning.

Rotating Roster Templates

Management > Rostering > Template Manager

You can now create rotating (rolling) roster templates directly in Template Manager, enabling automated rotation of employees across shift patterns such as mornings, afternoons, evenings, and weekends. This enhancement makes it easier to distribute shifts fairly, balance operational coverage, and manage complex workforce patterns without manual reshuffling. By automating rotation logic, you reduce administrative effort while improving transparency and consistency in how shifts are allocated.

For customers new to rotating templates, this feature is available immediately in Humanforce Cloud. For Back Office customers, existing Rolling Templates can be migrated to Cloud for use in Template Manager.

Roster Manager

Shift types filtered by employee award profile

The Shift Editing dialog now only displays Shift Types that are valid for the selected employee’s award profile and role. This makes shift creation and editing faster and more accurate by removing irrelevant options, helping managers select compliant shift types and reducing the risk of configuration errors.

Template Manager

Management > Rostering > Template Manager

Minimum Shift Gap validation now alerts correctly

The Minimum Shift Gap validation now runs consistently when editing shifts in Template Manager. Previously, warnings were not always triggered when shifts were too close together. This ensures compliance and fatigue management rules are properly enforced during template creation.

Minimum Shift Gap logic corrected for overnight shifts

Template Manager now correctly calculates minimum rest periods for overnight shifts. Previously, Min Shift Gap alerts could appear incorrectly when a next-day shift started outside the required rest period. This aligns Template Manager behaviour with Roster Manager and removes confusion when building templates for employees working across midnight.

Clearer and safer Template Manager permissions

Permission controls in Template Manager have been refined for clarity and improved governance:

  • A new “Add shift” permission has been introduced.
  • The existing “Add” permission is now “Add template” and only allows template creation.
  • The existing “Edit” permission is now “Edit template and shifts” and no longer allows adding shifts.

Users who previously had Add or Edit permissions will automatically have the new Add Shifts permission enabled. This creates clearer separation of duties, reduces accidental permission overreach, and strengthens rostering governance controls.

Timesheets

Management > Timesheets > Timesheets/Daily Authorisation

Update Roster Times now correctly refreshes linked timesheets

The Update Roster Times button now reliably refreshes start and end times on timesheets linked to rostered shifts, even if the roster was updated after the timesheet was created. Previously, changes made in Roster Manager were not always reflected in linked timesheets. This ensures timesheets stay aligned with roster updates, reduces manual corrections, and lowers the risk of payroll discrepancies caused by outdated shift times.

Home Screen

Home

Employee images display correctly on qualification expiry alerts

Employee photos now display correctly for all qualification expiry alerts on the Home page. This small but important usability fix improves visibility and clarity when reviewing compliance alerts, helping managers quickly identify affected employees.

Bid Manager

Management > Shift > Bid Manager

Hide bids from terminated employees

Bids from employees whose termination date is before the shift start date are now automatically hidden. This keeps the bidding list clean and accurate, prevents accidental assignment of shifts to terminated employees, and helps managers confidently award shifts to eligible staff.

Payroll

Management > Timesheets > Payroll

Frozen headers and employee panel in Pay Run screen

We’ve improved the usability of the Pay Run screen for large payrolls. Column headers now remain fixed when scrolling vertically, and the employee name panel stays visible when scrolling horizontally. This makes reviewing and editing pay details significantly easier, especially in large pay runs, reducing navigation errors and improving overall payroll efficiency.

Employee Management

Management > Employee > Employee Management

Update access level even if previous level was deleted

You can now update an employee’s access level even if their previous access level has been deleted, without needing to re-activate the old access level first. This prevents employees from becoming stuck with invalid access configurations and makes it easier for administrators to correct access level assignments cleanly and efficiently.

We’re pleased to announce the upcoming release of Humanforce Workforce Management (Cloud) version 6.0.69, bringing new rostering enhancements to help managers build accurate rosters faster, including improvements to Bulk Add Shift and Role View, plus added flexibility in the Humanforce Payroll integration. Roster Manager

Bulk Add Shift: Select Shift Definitions (including paid breaks support)

Roster managers can now choose a Shift Definition when using Bulk Add Shift, automatically applying the correct start/end times and break rules to each role. We’ve also improved break handling by adding clearer paid vs unpaid break fields, and ensured duplicated rows retain these settings, making large roster builds faster, more consistent and less error-prone.

Bulk Add Shift: Add comments in Roster Manager and Template Manager

You can now add comments while bulk-adding shifts in both Roster Manager and Template Manager. This makes it easier to capture important shift context (e.g. notes for employees or managers) across multiple shifts at once. Comments can be duplicated across rows where needed and are reliably saved on all created shifts including shifts created within Labour Groups.


Role colours now shown on shift cards in Role View

When viewing rosters in Role View, shift cards now display the role colour indicator on the left edge of each card. This creates a more consistent experience when switching from People View and helps teams using role colours identify roles at a glance.

Introducing the colours along the edge, rather than the entire shift background, ensures we remain compliant with Web Content Accessibility Guidelines (WCAG) and avoid contrast problems with the shift details text.

Leave Black-Outs

Exclude shift types from block-out block types

Admins can now configure Leave Black-Outs to exclude one or more shift types when setting up black-out block types in Humanforce Web. This gives organisations more control over how leave restrictions are applied, supporting more flexible rules and reducing the need for manual exceptions.


Payroll

Faster access to employee pay type breakdown

We’ve streamlined navigation in the Payrun screen so that when employee details are expanded, the daily breakdown automatically expands too. This provides quicker access to pay type details and reduces extra clicks when reviewing employee pay information.

Integration Central

WFM > HF Payroll

Configurable mapping for Email 1 and Email 2 fields

We’ve added flexibility to the WFM → Humanforce Payroll integration, allowing customers to switch which WFM fields map to Email 1 and Email 2 in Humanforce Payroll. This makes it easier to align with your organisation’s preferred contact data setup and improves accuracy for employee email syncing.

We're excited to introduce a brand new home screen experience that transforms how you navigate and interact with the Work app. This landing page has been designed to put the most important features and actions at your fingertips.

Quick Access & Navigation: The home screen provides intuitive shortcuts to frequently used features and hard-to-find functionality, significantly reducing the time it takes to complete common tasks.

Streamlined Menu: We've updated the navigation structure by replacing the Manager menu item with convenient manager shortcuts directly on the home screen. Profile access has also been moved to the top of the home screen and removed from the main menu for a cleaner experience.

One-Tap Clock In: Employees can now clock in directly from the home screen without navigating to the clocking screen, making it faster than ever to start your shift.

At-a-Glance Information: The home screen displays a quick view of your current pay cycle, including before tax earnings from authorised timesheets and a summary of payable hours from authorised timesheets, providing immediate visibility into your expected pay.

Photo Attachments Enhancement: Resolved an issue where photos couldn't be attached to timesheets when photo permissions were set to "Limited Access" (iOS).

Timesheet Locking Fix: Fixed an issue where unlocking a timesheet would still show time as locked until the timesheet was saved (iOS).

Timesheet Attachments:  Resolved an issue with permissions to add attachments on a timesheet (Android)

Time Entry Accuracy: You can now set timesheet end times for later than the current time when editing timesheets (iOS).

Manager Permissions Fix: Resolved an issue where the 'Add' button remained disabled even when appropriate permissions were enabled (Android).

Payslips Screen: Updated messaging on screen where no payslips are available for a clearer user experience (Android).

General UI and Performance Improvements

Additional Improvements: Various bug fixes including resolved issues with duplicate shift buttons, set availability date selection, and conversation deletion in chat (iOS and Android).

New shift validations when you save a Shift to help you capture all the details you need

We've added clearer validations for Area, Event, Function, and Shift Definition to ensure required details are selected before saving a shift. This helps prevent incomplete entries and makes shift creation more reliable and straightforward.

Improvements to Fill Shift so that offering shifts to multiple employees is faster and easier

We improved the Fill Shift experience so selected employees remain chosen when adjusting search text or filters in the Offer tab. This allows users to refine their search and build an offer list without losing prior selections. The update makes offering shifts to multiple employees more efficient and supports more flexible selection workflows.

Easier creation and management of multiple shifts in labour groups

We improved how locations are applied when adding multiple shifts to a labour group that is grouped by location. In this scenario, the system now consistently carries forward the relevant location, reducing the need for manual re-selection and helping ensure shifts are grouped as expected. This makes creating and managing labour groups shifts faster and more reliable.

Refinement of rounding logic to prevent unintended Minimum Roster Hours alerts

We resolved a scenario in Roster Manager where the Minimum Roster Hours alert could trigger incorrectly due to rounding limitations, even when an employee had met their required hours. The alert logic now rounds hours to the expected precision, ensuring employees only receive alerts when they are genuinely below their minimum requirement.

Bid Manager

Management > Shift > Bid Manager

Clearer visibility of shift bids, particularly for overnight and overlapping shifts

We’ve made changes to address scenarios where employee bids for conflicting or adjacent shifts were not displayed consistently in Bid Manager. Bid counts now accurately reflect available bids, and the Bids available for offer label only appears when valid, actionable bids exist. This ensures managers see a clear and reliable view of shift bids, especially around overnight and overlapping shifts.

Timesheets

Management > Timesheets > Timesheets

Split timesheets into more than two parts

We’ve improved timesheet splitting so that users with the Split Timesheet permission can now split a timesheet into more than two parts (even when the Area, Event, Function, Period, and Shift Type view permissions are disabled).

More accurate checks across grouped shift types for Insufficient Leave Balance alert

We’ve improved the Insufficient Leave Balance validation so that alerts now correctly use the shared group balance when employees use different shift types within the same Shift Type Group. This enhancement prevents false Insufficient Leave Balance alerts on timesheets, ensuring more accurate and consistent leave balance checks across grouped shift types.

Leave block outs and approvals

Admin > System configuration > Leave block-outs

Gray-out periods get per day validation 

We’ve improved gray‑out period leave validation so that the limit on the number of employees on leave is checked against each day, rather than across the full date range of the gray-out period.  We’ve also updated the settings label to clarify it applies per day, preventing valid multi‑day leave requests from being incorrectly rejected.

Improved Leave approval handling

In a related change, we’ve also improved Leave Approval handling so that the Max Employees on Leave limit now correctly counts unique employees rather than individual leave entries, preventing scenarios where valid leave approval requests are incorrectly blocked.

Workforce Analytics Payroll Reports

New filter option to refine payroll reports

We’ve added a new Pay Run dropdown filter to the Payroll Data and Payroll Data with Cost Codes reports, allowing payroll administrators to report on a specific processed pay run iteration.

Improvement for non-attended shifts in Pay Comparison Report 

We’ve improved the Pay Comparison Report so that daily totals in “Preview payroll data” now correctly display the Date for payments generated by On-Call overrides on non‑attended shifts, aligning them with attended shift payments.

Faster loading of individual pay runs in Payrun History

We’ve continued with performance improvements for the Payrun History screen. In this release, we’ve improved the performance of viewing individual pay runs so that detailed pay run data loads faster.

By eliminating the need for manual exports and addressing misaligned reporting data, businesses gain real-time operational visibility and enhanced accuracy, while establishing an AI-ready data infrastructure for faster, smarter decision-making.

DataFlow serves as a crucial intelligence multiplier, unlocking essential employee-related data that allows organisations to optimize business reporting and make confident, data-informed decisions quickly and proactively.

Connected Employee Data (HR ↔ WFM ↔ Payroll)

This year cemented Humanforce’s connected-suite vision. Role revisions, pay rates, and employee details flow automatically between HR, WFM, and Payroll. Holiday Season Release Schedule

To ensure stability throughout the busy holiday period, we will be pausing the Humanforce Cloud release schedule from Friday 12 December 2025 through Monday 12 January 2026. This pause helps ensure smooth operations for customers during a high-activity time of year.


Roster Manager

Controlled Editing of Event & Function Fields

Rostering > Roster Manager > Shift Edit

A new “Edit Event & Function” permission has been introduced to manage who can modify Event and Function fields when editing existing shifts. These fields now remain read-only unless the user has the required permission, ensuring clearer access control while still allowing authorised users to make necessary updates.

Correct role assignment when adding multiple shifts

Rostering > Roster Manager > Add Multiple Shifts

Shifts now correctly inherit the selected role filters, counts and break rules, ensuring consistency and reducing the need for manual corrections. Users will no long experience the application of incorrect roles, shift counts or break times when using role filters while adding multiple shifts. 

Improved Shift View performance when grouping by department

Rostering > Roster Manager > Shift View

Shift View performance has been enhanced when grouping shifts by department. Rosters now load more quickly in this view, providing a smoother and more responsive experience when reviewing departmental coverage and making scheduling decisions.

Faster people view load times

Rostering > Roster Manager > People View

The People View in Roster Manager has been optimised to significantly improve shift loading performance. When navigating back to People View, shifts now load faster, reducing delays and allowing roster managers to review and adjust staffing more efficiently, particularly beneficial for large or complex rosters.

Template Manager

Assign & Un-assign actions now permissions-based

Rostering > Template Manager 

Assigning or unassigning shifts in Template Manager now requires the new “Assign & Unassign” permission. Users without this permission can no longer perform these actions, strengthening governance and ensuring template changes are only made by authorised users.

Employee Management

Gender field display

Employee > My Details

Employee gender field  now accurately displays if a value has not been assigned. The field now correctly shows “None”, matching the behaviour of other optional fields and improving data clarity for employees.

Timesheets

Accrual balance checks applied during bulk shift type changes

Timesheets > Timesheet

The timesheet system now correctly validates accrual balances, helping prevent unintended negative balances and improving payroll accuracy. Insufficient accrual balance checks are now triggered when changing shift types via Bulk Edit. 

Payroll

Faster Payrun history loading for high-volume customers

Timesheets > Payroll 

Performance improvements have been made to the Payrun History screen. For customers with large numbers of historical payruns, loading times are now significantly faster, reducing wait times and improving access to payroll history.

Workforce Analytics

Correct week grouping across year boundaries

Management > Advanced > Workforce analytics

Workforce Analytics reporting involving weeks spanning a year boundary have been improved by removing unnecessary duplicate entries. The KPI Weekly Wage Budget Report now correctly groups these weeks spanning a year boundary, ensuring accurate wage reporting and clearer year-end insights.

Pay rate description visibility now fully permission controlled 

Management > Advanced > Workforce analytics

Employees with disabled access levels can no longer view the Pay Rate Description field in the Employee Extended Data report, unless both the parent and child permissions are enabled. This ensures sensitive pay information is properly restricted and aligns analytics visibility with security expectations.

This year, we introduced Life Insurance within Thrive, giving employees access to general and personalised life insurance advice , and helping to connect them to licensed insurance advisors for quotes and guidance in just a few clicks. Many people delay life insurance due to complexity. Thrive now removes that barrier, offering simple, trusted pathways to take action.

Bringing HR Tasks into the mobile experience

We also launched Thrive Tasks, bringing HR workflows and wellbeing into one seamless mobile experience. Employees can now view and complete important HR tasks such as onboarding steps, surveys, performance tasks and more inside Thrive, supported by real-time push notifications and reminders that reduce delays and improves task completion. This helps work move faster, cut manual follow-ups, and ensures employees have one central place to stay aligned and engaged.

Expanding everyday savings with new cashback merchants

This year we continued to grow the Thrive cashback program, adding major retailers and lifestyle brands to help employees stretch their budgets and enjoy meaningful everyday savings. Some of the standout additions this year include:

EWA continues to be used primarily for everyday essentials, helping employees manage short-term cash flow and supporting day-to-day life. Whether it’s covering immediate household needs or smoothing the gap between pay cycles, EWA is providing responsible, meaningful real-world support for your employees to help them stay on top of what matters most.

Helping employees plan ahead with the Superannuation Calculator

2025 Talent Wrap Up

2025 has been a pivotal year for Humanforce Talent. As organisations continue to compete for talent in a highly dynamic market, our focus has been on giving recruiters and hiring managers more clarity, automation and intelligence to move faster and hire better. The biggest milestone this year was the launch of Humanforce Talent Analytics, the first chapter in our Humanforce Analytics journey toward unified insights across the entire Humanforce suite. Recruitment teams now have access to cleaner, faster dashboards that surface key performance metrics with a clearer, more modern experience. Alongside this, we introduced Talent Analytics Pro, a premium tier designed to help teams go deeper with their data through:

  • Build-your-own dashboards
  • Advanced filtering and drill-downs
  • Automated alerts and anomaly detection
  • Scheduled reporting, and
  • AI-powered insights using natural-language Q&A

These capabilities move Talent beyond reporting and into real-time, intelligence-driven recruitment, giving teams faster clarity on what’s working, what needs attention, and where to prioritise effort. Smarter data collection with Candidate Forms

This year, we introduced Candidate Forms, giving teams a flexible, low-friction way to collect structured data post-application without disrupting the candidate’s initial experience.

Recruiters can now create configurable form templates, trigger them automatically or in bulk, track completions, collect secure attachments and support up to five forms per vacancy. Whether it’s certifications, DEI information, onboarding details or medical declarations, Candidate Forms keeps everything organised, auditable and centralised.

Expanding reach with Apply with SEEK across APAC

We expanded Apply with SEEK functionality beyond Australia to support candidates applying via JobsDB and JobStreet, enabling seamless pre-filled applications across key APAC markets.

Candidate profiles now populate essential information automatically, from contact details to resumes, work history and education, helping to improve conversion rates, reduce application friction and ensure a smoother experience across desktop and mobile.

Accelerating Hiring with AI: Outhire Integration

This year we introduced a new AI-powered partner integration with Outhire, available to Humanforce Talent customers via our Open API. The integration allows teams to enhance early-stage screening by connecting Humanforce Talent with Outhire's capabilities, including:

  • Automated job-fit analysis
  • AI-driven phone and video interviews
  • Consistent, structured candidate reports

This integration help teams reduce manual screening time, improve consistency, and make more confident decisions earlier in the process, especially valuable for high-volume roles.

A more polished, stable and connected Talent platform

Alongside the headline features, we delivered dozens of behind-the-scenes improvements across branding, infrastructure, accessibility and performance ,all focused on improving reliability and consistency.

These smaller but meaningful platform enhancements included:

  • Rebranding to Humanforce Talent across employer and candidate experiences
  • Faster performance across key areas like Comms, Careers pages and Offer Management
  • Improved accessibility aligned to WCAG 2.2
  • Enhanced validation for phone numbers, addresses and custom fields

2025 Workforce Management Back Office transition Wrap Up

In 2025, Humanforce delivered major milestones in bringing Humanforce Back Office (also known as TimeTarget) - equivalent functionality into Cloud Workforce Management (WFM), ensuring customers can transition with confidence ahead of our Back Office deprecation date at the end of 2026. 

Core workflows, configuration tools and payroll processes have now been modernised, strengthened and consolidated in the cloud, giving organisations a faster, more intuitive and more reliable platform for workforce operations.

Back Office capabilities now available in Cloud WFM

Cloud WFM now includes fully supported versions of essential Back Office features, such as:

•    Event Rostering with labour groups and multi-day/multi-location planning

•    Shift Confirmation and Shift Consent with SMS/Push communication

•    Full roster alert configuration and Restrictive alert enforcement

•    Shift Type parity, including ordering, decimal precision and special condition filters

•    Cost Centre Mapping, now web-native and multi-level

•    Payrun exports for Rockfast, Smartly, Sybiz Visipay, PayGlobal and enhanced Chris21

•    Daily-level payroll interpretation for manual pay adjustments

•    Advanced timesheet management, including multi-level approval, daily  authorisation, split logic, locked-payrun handling, award/break accuracy and unified UTC audit timestamps

•    Qualification and Shift Definition management within Cloud

•    Enhanced Template Manager, supporting labour groups,  optimised processing and flexible template generation

•    Roster Manager parity, with bulk editing, bulk assignment, multi-day creation, leave reassignment logic, and reassignment of locked shifts

•    Clocking enhancements, including accurate break prompts and shift transfer reliability

•    Leave Management parity, including blackout-period flexibility and new insufficient-leave alerts

•    Roster & Timesheet charge-out reporting in Workforce Analytics

•    Modern bulk imports for timesheets, allowances, roles and role revisions

•    Employee data forwarding (HR → WFM → Payroll) for seamless onboarding and data integrity.
