What's new in intelliHR - April/May releases

We are excited to share with you some of the feature enhancements that we have released in the last month. Additionally, we have an exciting announcement about a new onboarding feature that we have been building to make onboarding your employees a lot simpler and more effective.


Improved Email Log  

Settings > All Settings > Email Log 

IntelliHR sends check-ins, self-assessments, and policy forms to employees via email. Sometimes, team members may inform you that they have not received any email notifications about their tasks. In such cases, the email log becomes valuable for you as a system administrator. It provides an audit trail of all emails sent from intelliHR, including the recipients and timestamps.  

We have enhanced the email log by adding more detailed statuses to help you track the status of emails and understand why they may have failed to send. You can now track email statuses more effectively as we have added new statuses to indicate if the email has been delivered, was marked spam by the user, failed to send due to email address issues, or for other reasons. You can learn about what each status means by clicking on the “About Email Statuses” button on the top right of the page. Understanding why an email notification is not delivered will make it easier for system administrators to quickly rectify the problem.

Delegated Access 

All Settings > Delegated Access > Create 

Within the platform, permissions between supervisor and their direct reports control what a user can see or do on a particular employee’s profile. Some businesses may require more than one person to have certain permissions in relation to an employee. intelliHR supports this through delegated access; allowing managers to have visibility over teams with either the same access as their current supervisor or modified access  

We have updated the instructions on the Delegated Access page to make setting up delegated access permissions easier. You can now find more detailed descriptions when creating a delegated access group in your organisation. We hope that these instructions will clarify the process for you.

Contracts enhancement 

Organisation > Contracts  

The Contracts dashboard page is now paginated. Pagination means that the contract page will load more quickly because all contracts will be displayed across multiple pages. Each page will now show 10 contracts instead of loading all the contracts on a single page, resulting in faster loading times.

Coming Soon: New Onboarding flow 

We have been developing a new onboarding feature designed to prepare your new team members for success even before their first day. In addition to enhancing the employee experience, the new update will help alleviate administrative burdens on your People Team, improve data integrity, and manage compliance more effectively.

Recently, we provided a sneak peek of the new onboarding experience in our intelliHR customer webinar session. If you're a current intelliHR user and would like to activate this feature in your platform before its full release, please reach out to your intelliHR support team. We will be hosting a training session for current customers on how to optimise your onboarding process with the new feature and make the most of your intelliHR platform. New Release! Humanforce Cloud - Version 6.0.27

Reminder: call out for organisations to test and provide feedback on Editing Timesheets in Bulk

We’re keen to hear your feedback on the new Timesheet Bulk Edit feature and how it performs for the needs of your organisation, so it can be as powerful as possible. 

Interested in testing it out? 

We invite you to submit a support ticket via Humanforce Help, to have the feature enabled in Production for your organisation. Spots are limited, so be quick!

If you secure a testing spot, our support team will enable the feature for your organisation, and you will control which of your users have access to Timesheet Bulk Edit, via permissions. For testing purposes, we recommend limiting access to Timesheet Bulk Edit to a small number of experienced users. 

Once you’ve had a chance to test the new feature, send any issues or queries to our support team and/or go ahead and use it more broadly in your organisation.

Roster Manager

Management > Rostering > Roster Manager

We've updated the Role summary modal within Shift view to provide more flexibility over the information displayed.  Some of the new improvements you will see:

  • The ability to set what columns are displayed and the order they appear
  • Warnings and Errors now consistent with People & Role views
  • A new filter to show Unassigned shifts only
  • Status icons applicable to the shifts now visible.

You can now filter by Employment type within the Roster.

The Employee's Grade warning has now been implemented.  When configured in Clock In Settings Alerts, you will see warnings within the Roster if an employee does not meed the Grade requirement.

Timesheets

Management > Timesheets > Timesheets

We've made it easier to perform quick 'inline' edits to the Start Time and End Time directly from the main Timesheet table.

For a better user experience and as part of our program to improve consistency, we've reorganised the Alerts and New buttons in the Timesheet header and updated the Screen Settings and Update Roster Times buttons.

We’ve resolved an issue where Reason was not always being populated in the main timesheets grid.

Department Rostering

Management > Rostering > Department Rostering

The workflow to clear employees on leave from rostered shifts will now clear employees only for approved leave requests.  Any employees with pending leave requests or declined leave requests will no longer be removed from the shifts.

Employee Rostering

Management > Rostering > Employee Rostering

When creating a timesheet after reassigning a shift, users with the appropriate permission to authorise the timesheet are now permitted to edit the Authorise checkbox. While the Authorise checkbox will still be automatically ticked when changing the Shift Type to a Leave type, the user will now be able to untick the checkbox to create the timesheet as Unauthorised. Previously this checkbox was disabled for all users. Note that opting to create an unauthorised Leave timesheet will not create a leave request.

Bid Manager

Management > Shift > Bid Manager

Period Hours and Period Hours + Leave data in Bid Manager now include shifts and leave with a start date within the Pay Period of the shift being bid on, regardless of the shift/leave end date. This will better assist managers in determining the correct employee to offer a shift to. Previously any such shifts/leave were being excluded from the calculation.

Workforce Analytics

Management > Advanced > Workforce Analytics

Two new datasources of Location Code and Export Code have been added to the Timesheet Data report to assist with identifying Locations in the report. This is especially useful for those who may frequently need to update the Location name.

The Shift type filter within the Leave request report now includes shift types where the Allow Staff Requests setting is enabled.

Payrun Reports

Management > Timesheets > Payroll > Payrun > Reports

Improvements have been made to all the reports available in payrun screen to view and filter the data prior to exporting to CSV. The report names have been updated to reflect this change and additional menu options are available to either view the data or export the data to CSV. 

Labour Group Allocation

Admin > System Config > Labour Group Allocation

Improvement has been made to Labour group allocation to allow for percentages to have up to 2 digit decimals.

Announcement – new Humanforce Payroll STP Financial Year End 2024 processing changes

As Humanforce Payroll Customers are preparing for end of financial year 2024 STP processing, we are happy to announce that a few new changes have been made to help streamline and simplify the exercise for payroll teams.

Let’s dive into the product related update, some important information and the handy support resources available.

🔥What's New?

Most of the routines relating to Year End processing have now been automated so that once you finalise the last pay run of the year, there is nothing more to be done.

 Single Touch Payroll (STP) Processing

The data that gets sent to the ATO via a Pay Event each process is employees’ Year-To Date figures. This has removed a few of the processes within Humanforce Payroll that were previously needed to be done by a Payroll Department at Year End. The major change to the process is that you no longer need to produce a Payment Summary or lodge an empdupe file.

IMPORTANT NOTE: As a safeguard measure, Payroll teams are encouraged to add an additional ‘Special Run’ just before the end of the financial year (i.e. 29th June 2024). This will be Humanforce Payroll customers’ last opportunity to include transaction in the final year. If the final run isn’t needed, there is no harm or loss in having it set up as the run can be performed as a blank run.

Guides

To help with end of financial year 2024 processing the following guides have been constructed.

EOFY Checklist guide - Check off critical items that may be easily overlooked, however are necessary for end of financial year payroll processing. Items such as loading FBT, linking employees to employee numbers, adding a special pay run, reviewing itemised allowances, scheduling month end pay run, and more are covered in our handy check list.

⭐ Why it matters

End of year STP processing is crucial because it ensures that all employee payroll information, including wages, taxes, and superannuation contributions, is reported accurately and timely to the Australian Taxation Office (ATO).

This streamlined reporting simplifies compliance, reduces paperwork, and minimises the risk of errors or penalties associated with manual end-of-year reporting processes.

In addition, it enhances transparency for employees by providing them with up-to-date and accessible information about their earnings and deductions, aiding in their personal financial management and tax planning.

Humanforce Payroll customers are advised to follow the STP processing instructions that has been communicated to them via email.

New Release! Humanforce Cloud - Version 6.0.26

Timesheets

We're excited to announce the early access release of the Timesheet Bulk Edit feature! 

This new functionality is available initially from the 15th May for customers interested in participating in User Acceptance Testing (UAT) before it is released broadly. 

If you'd like to try it out, please: 

  1. Submit a Support ticket via Humanforce Help to request access to Timesheet Bulk Edit in UAT. 
  2. After your access is confirmed, enable the Allow bulk editing permission via View Timesheet Authorisation Page > Allow editing > Allow bulk editing. 

After access and permissions have been enable, the Edit Details (Bulk Edit) button will be visible in your Timesheets interface.

More usability improvements to Timesheets

All checkboxes are now 'sticky', meaning you can see and make selections even while scrolling through the table. Previously, when scrolling, checkboxes would disappear. This improvement enhances usability and efficiency on the Timesheets screen.

Roster Manager

Management > Rostering > Roster Manager

We've fixed an issue where some overnight shifts were not being imported into the roster.

A new Reports button has been added allowing for quick access to the Roster By Roles, Roster By Employee, Roster Individual, Roster Daily Coverage By Employee and Roster Daily Coverage By Role reports.

Template Manager

Management > Rostering > Template Manager

We’ve fixed the following issues where:

  • The Minimum Period Roster hours alert was not calculating for multiple periods if the template was longer than a single pay period.
  • The break time within a shift was sometimes displaying incorrectly.
  • Some overnight shifts were showing negative net hours after a shift had been edited.
  • Shifts were not ordered by shift start time.
  • An internal server error was appearing if the pay period was not set.

We’ve also added Total cost and hours columns to the Template Manager page.

Employee Rostering

Management > Rostering > Employee Rostering

Users with the permission Allow change of read only status enabled can now assign, re-assign or offer shifts that are locked, without needing to unlock the shift first. 

Department Rostering

Management > Rostering > Department Rostering

We fixed an issue where after updating a template it was not showing within the Import a Template list.

Workforce Analytics

Management > Advanced > Workforce Analytics

Filtering data by Region is now available for the below built-in reports and data sources:

  • Roster Timesheet Data Source
  • Variance Analysis by Hours
  • Variance Analysis by Paytype

This allows you to filter data in the report for the locations that are specific to the filtered region. 

We have also added Paycompany as a new column in the above data sources, so that it’s available to view in reports. 

The Roster Timesheet datasource now has a new field of Roster_EventFunction available. To see the new field, add it to reports by selecting it in the datasource.

Awards

Admin > Award Config > Public Holidays

The public holiday grid now gets updated each time when a new location or region is selected.

Roster Manager

You now have easy access to employee profiles via the hyperlink added to employee name on People view.

We've fixed an issue when applying both the Assigned and Unassigned filters.  Any Roles or Employee rows (depending on which view you are in) will be hidden from the grid if they do not have any shifts. This has also been resolved in Template Manager.

Template Manager

Management > Rostering > Template Manager

The Minimum Period hours warning has been added.  When the alert is set up within Clock in settings, you will now see the warning within your template.

Any new template saved from the department roster will now automatically be set to Active.

We have fixed an issue where shifts were imported into the department roster incorrectly if the location setting "Override week start day," was set to a different day than the system wide setting “Department Roster Week Start Day”.

Workforce Analytics

Management > Advanced > Workforce Analytics

 The External ID field for employees is now available as a column for reporting in the following data sources:

  • Timesheet Data
  • Payroll Data
  • Payroll Data with cost code

Employee Management

We have broadened email validation to allow for successful validation of email addresses that contain the specific special character ".-" when saving personal details.

Pay Comparison Report

Reports > Payroll > Pay Comparison Report

We have fixed an issue where pay comparison report produces incorrect award interpretation when using period rules that applies across multiple pay period. This is only applicable when the pay run comparison report is used to compare the award interpretation between two award profiles.

Work App

Messages > Chat (beta) 

We have released Chat Beta functionality for mobile to mobile chat.  This is turned on via a feature flag, so will require a support ticket to enable this in the Work app.

Template Manager

We’ve added an alerts panel in the Template Editor for quick visibility and easy access to shifts with errors and warnings in the template you’re working on.

Employee Role Qualification Roster Alert

We have resolved an issue so that Employee Role Qualification alerts will trigger successfully in Employee Roster and Roster Manager when the alert conditions are met.

Area column is now available in the Demand Plan With Roster Timesheet data source allowing you to report by Area. Any reports utilising this data source will have the Area data available, including the AN-ACC dashboard reports.

We’ve fixed an issue that was preventing users from saving employee profiles, when a profile already had a leave accrual start date, but the user attempting to save the profile did not have the Edit leave accrual start date permission enabled.

Payroll

The Name filter in pay run screen now correctly displays the timesheets for the employee name entered in the filter.

Employee Rostering

We have fixed an issue that was preventing managers from selecting an SMS Gateway when offering shifts if they did not have the SMS Gateway Servers permission enabled.

SMS Gateway

Admin > Admin Config > SMS Gateway Server

SMS Gateway Server, which is used for sending text messages when offering shifts, can now be configured in Humanforce Cloud. This will replace the existing Back Office configuration functionality, which will be removed soon. 

SMTP Server

Admin > Admin Config > SMTP Server

SMTP Server, which is used for sending alert updates when set up under alerts config, can now be configured in Humanforce Cloud. This will replace the existing Back Office configuration functionality, which will be removed soon.

New Release! Humanforce Cloud - Version 6.0.23

In this release, we’re excited to bring you the Pay Period feature on top of several improvements to Timesheets, Bid Managers, Rosters, Payroll and added a new data source in Workforce Analytics!  Read on for all the details!

Pay Period Configuration

Admin > Award Config > Pay Periods

Pay Periods can now be configured in HF Cloud!  

Pay Periods are used when configuring Payroll Companies when defining an employee's employing entity. This will replace the existing Backoffice functionality, which will shortly be removed. Pay periods are generated in Humanforce to define pay cycles, support allocation to pay companies, and establish cycles such as weekly or fortnightly with designated start days, facilitating efficient payroll processing.

Timesheets

Management > Timesheets > Timesheets 

We have rectified the issue where breaks are dropping off when using the bulk “Generate Timesheets” function. All paid and unpaid breaks associated with no-show records are now being retained when using the bulk 'Generate Timesheets' function.

The Hourly Rate column on the main table now displays the effective hourly rate for that timesheet, not just the hourly rate that is currently active.

We have also improved the pagination display to ensure that when navigating to different dates or date ranges, the user is taken to page 1 of the results rather than having the previous pagination retained.

When Authorising to Roster Times, the correct Start Date is now being populated in the event the employee has clocked in on the day previous (or the day after) to the actual shift start date, so the clocked-in date differs from the rostered start time date. Before this change when 'Authorising to Roster Times' the clock-in date was used instead of the actual shift start date. This change improves the accuracy of award interpretations.

Roster Manager

Management > Rostering > Roster Manager > People View

You will now see the employee's Minimum and Maximum hours as defined within the employee's profile, next to their name.

Shifts within the Unassigned section are now sorted by shift start time.

Template Manager

Management > Rostering > Template Manager

Shifts are now updated to be sorted first by shift start time and then by employee name as default.

Department Roster

Management > Rostering > Department Roster

In circumstances where shifts were added to some templates via Template Manager, not all shifts would successfully import to the Department Roster. 

Payroll Company

Admin > Award Config > Payroll Companies

We have fixed an issue that was preventing users from adding new Payroll companies in Humanforce cloud.

Payroll

Management > Timesheets > Payroll

Under the settings cog, there is now a filter option to exclude data for non-exporting employees. When selected, the Simple Format report will exclude non-exporting employees. This filter will also be applied to other report types in later releases. We have also improved the report performance to export all of the data into a CSV file without timing out.

Workforce Analytics

Management > Advanced > Workforce Analytics

New fields have been added to the timesheet data source, you can now select Employee_State, Employee_Gender and Location Group in the timesheet data source.

Bid Manager

Management > Shift > Bid Manager

We have fixed a few issues in the Bid Manager as per below: 

  • The Offer/Assign checkboxes on overlapping shifts are now behaving as expected.
  • An enhancement has been made to improve the performance when performing actions in Bid Manager.
  • An indicator is now visible after submitting bid offers or assigning shifts, to let the user know the submission is in progress

Employee Roster Alert

Fixed an issue for "Roster min period hrs" to not trigger an alert if the employee has been rostered for minimum hours.

Employee Management

Employees on a lower authorisation level without the "View employees above authorisation level" permission are not able to view profiles of employees on higher authorisation levels.

New Feature – Pay Period Configuration!

Ensuring pay periods are properly configured and ease to modify are essential to maintaining payroll accuracy.  

Pay Period Configuration in Humanforce Cloud is now here, and it will soon replace existing functionality within Humanforce Backoffice.

Pay Periods can now be configured in Humanforce Cloud. Pay periods are generated in Humanforce Cloud to define pay cycles, support allocation to pay companies, and establish cycles such as weekly or fortnightly with designated start days, facilitating efficient payroll processing. 

  

⭐️ Why it matters 

Configuring Pay periods in Humanforce Cloud benefits organisations, workforce managers and payroll related teams. These include: 

Greater payroll confidence and accuracy: Many jurisdictions have specific legal requirements regarding payroll, including the frequency of payments (e.g., weekly, bi-weekly, monthly), minimum wage laws, overtime calculations, and record-keeping. Proper configuration of payroll periods helps ensure compliance with these regulations, reducing the risk of legal issues or penalties. 

Greater payroll management control and flexibility: Effective payroll period configuration streamlines payroll processing by establishing a consistent schedule. This consistency helps in automating payroll calculations, reducing the administrative burden on HR and payroll departments, and minimising errors. 

Improved financial Management: As payroll is often one of the largest expenses for an organisation, setting payroll period can significantly aid organisations in their management of cash flow and ability to set better budgets. In addition to this, Payroll period configuration also affects the calculation of taxes withheld from employee wages and the organisation's payroll tax obligations. Accurate configuration helps ensure the correct amount of taxes is collected and reported, minimising the risk of errors in tax filings and potential fines.

New Release! Humanforce Cloud - Version 6.0.22

In this release, we’re excited to bring you further improvements to Roster Manager and Bid Manager, as part of our powerful, intelligent and seamless rostering solution, as well as a number of other improvements.  Read on for all the details!

All Humanforce Cloud accounts and UAT environments will be automatically updated to bring you the items below, overnight on Wednesday 20th March 2024.

Roster Manager

Management > Rostering > Roster Manager

 Improvements

  1. When importing a template into Roster Manager, you can now search by Template name.
  2. Fill shift now includes a select all check box.
  3. You are now able to update shifts to a Read only status and also re-set to normal via the Actions menu.
  4. There is now a prompt shown if you are editing a shift that has been offered to one or more employees so that you will know the offer will be revoked from employees.

Bid Manager

Management > Shift > Bid Manager

Exchange bids will not be visible in Bid Manager where the bidder does not have the required permission to view or bid on exchange shifts. This resolves a rare scenario where a worker submits a standard (non-exchange) bid and is later rostered for a different shift that overlaps with the shift they’ve bid on, causing the original bid to become an exchange bid. In this scenario, the exchange bid will no longer be visible in Bid Manager (as the worker does not have the required permission to submit exchange bids).

Alerts

The 'break not started' shift notification has been improved so that it only triggers when the employee has clocked-in for the shift and hasn't taken the scheduled break.

Event Manager

Management > Rostering > Event Manager

Fixed an issue that was preventing employees from being assigned to shifts within a labour group.

We’ve also increased the filter options in Event Manager to include Event Export Code, Event Name and Function Name. Function Export Code will remain selected by default in the filter options.

Employee Roster & Department Roster

Management > Rostering > Employee Rostering 

For Employee Roster, we resolved an issue where the Hours Required alert was not triggered if the shift had a duration of 0.00 net hours.

We also made improvements to the interaction between Department Roster and Employee Roster, to ensure shifts are not mixed-up on the Department Roster when an additional shift is added for the same location and department via Employee Roster.
