New Release! Humanforce Cloud - Version 6.0.13

Introducing more flexible permissions for Timesheets, faster load times in Workforce Analytics, and more!

Now available in staging environments, all Humanforce Cloud accounts will be automatically updated to bring you the items below, overnight on Wednesday 8th November 2023.

Timesheets

Management > Timesheets > Timesheets

A new permission has been created which provides access to all pay companies in Timesheets, without giving access to the Payroll Screen. The new permission is available under View Timesheets Authorisation Page > Allow access to all pay companies.

This permission replaces the existing version Payroll Screen > Allow access to all pay companies, which when active also gave access to the Payroll screen itself.

The new permission specifically relates only to Timesheets functions. The Payroll Screen permission now only applies to Payroll.

All users with the Payroll version of the permission active have automatically been given the new permission, ensuring all users with access to all Pay Companies in Timesheets continue to do so.

With this additional flexibility, it is recommended that all customers check their access levels for the permission under Payroll Screen and remove that permission for all access levels that do not require access to the Payroll screen. To check or adjust permissions, visit Admin > Security Config > Access Levels.

More improvements in the Timesheets screen

Along with minor UI improvements in the Timesheets screen, we’ve changed the way No Shows appear in the Reason column.

A hyphen (-) has replaced No-show in the Reason column (as No show is not a valid reason). No show will continue to appear in the Status column on No show records.

In addition, the Reason filter is now sorted in alphabetical order.

Workforce Analytics

Management > Advanced > Workforce Analytics

We’ve improved the performance of the Employee Extended data source in Workforce Analytics, so data is loaded and displayed more quickly in the reports using this datasource. 

Payroll

Management > Timesheets > Payroll

Payrate and Hourly Rate columns are now displayed in the Payrun screen under the timesheet section. Payroll admins can now view the Payrate and Hourly Rate applicable for a timesheet.

Employee Roster

Management > Rostering > Employee Rostering

We’ve fixed two issues that were impacting Employee Rostering:

  • Unassigned shifts can now be copied and deleted, eliminating extra steps to re-create identical unassigned shifts.
  • The employee roster is now accurately aligning shifts when filters are updated.

Template Manager for Rostering

Management > Rostering > Template Manager

We are now validating total break times to ensure the break length can't be greater than the total shift time and that it falls within the shift start and end times.

Employee Change Approvals

Management > Employee > Employee Change Approvals

We’ve fixed an issue where Managers visiting the Employee Change Approval screen, could see change approval requests from employees outside the manager’s Location/Department visibility. The 'view all departments' and 'view all locations' permissions are now being correctly referenced.

New Release! Humanforce Cloud - Version 6.0.12

Introducing new manager notification options in Shift Bidding, improved Timesheets filtering and auto-population of fields, and improvements to rostering and workforce analytics!

Shift Bidding

Manager notifications

For more flexibility, we’ve introduced new options to customise which managers receive notifications when an employee accepts or declines an offer made via Bid Manager. 

The options for who should receive notifications are: 

  1. The manager who published the shift and the manager who offered the shift. One notification will be sent if these two personas are the same user. This is the default setting.
  2. All users with access to the Location/Department of the shift and who have access to Bid Manager or Rostering screens 
  3. All reporting managers for the employee's management group. 

To configure your preferred option:

  • Go to Admin > Admin Config > System Settings
  • Click the Roster/Roster Templates tab
  • Select your preferred option and click Save Changes.

Employee notifications

The employee notification advising an offer has been made via Bid Manager and needs to be confirmed has been made more clear. The new notification states: 

Confirm Shift: Your bid was selected and you have been offered a shift for [ROLE] on [DATE]. Please confirm the offer to have the shift assigned to you.

Timesheets

Management > Timesheets > Timesheets

  • All Shift Types are now visible in the All Shift Type filter. Previously, the results of the All Shift Types filter were limited to the logged in user's shift types as defined by their Award Profile.
  • Paid breaks are now included when creating timesheets from rosters. Previously only unpaid breaks were included.
  • Split timesheets no longer inherit the original timesheet's Event/Function by default after the Event and/or Function is removed.
  • The Net Hours label has been updated to Timesheet Net Hours to provide additional clarity on what data that column contains.
  • When editing timesheets, the values in the Area field now update immediately when the Location/Department/Role is changed.

Department Rostering

Management > Rostering > Employee Rostering

We’ve fixed an issue where unassigned shift costs and associated pay type values were not being saved correctly when saving rosters, which was resulting in under calculation of total roster costs. Total roster costs and values of pay types now reflect unassigned shifts, as expected.

Template Manager for Rostering

Management > Rostering > Template Manager

  • To prevent errors, we are now validating total break times to ensure the break length can't be greater than the total shift time and that it falls within the shift start and end times.
  • Shifts within your template now show new icons on the shift tile to indicate if a comment has been added and/or it has been marked as Non-attended.

Workforce Analytics

Management > Advanced > Workforce Analytics

The KPI Workforce analytics report now has the option to include Unassigned Shifts, for more flexible reporting.

Our eagerly awaited filter functionality allows managers to quickly surface critical information such as attendance based on specific locations and timesheets based on specific locations, departments or roles. This means less hassle scrolling and searching, which results in more time given back to time-pressed managers. 

These simple, yet powerful changes enable managers to perform on-the-go workforce management of their teams, thereby keeping them in the flow of their everyday workday, without having to perform these procedures via desktop on Humanforce web.  

Finally, region switching offers greater mobile workforce management flexibility to teams by enabling employees to log into other available regions where the company operates. This is particularly useful in employment scenarios that span various geographic regions.

New Release! Humanforce Cloud - Version 6.0.11

Introducing more improvements to Humanforce Payroll, clearer and smarter views for Timesheets, auto-filters for Fill Shift in Template Manager, and more in our latest version of Humanforce Cloud. 

Now available in staging environments, all Humanforce Cloud accounts will be automatically updated to bring you the items below, overnight on Wednesday 11 October 2023.

Humanforce Payroll

  • The timesheet upload now successfully processes multiple timesheets with the same date when the timesheets are for different types of leave. For example, where an employee takes more than one type of leave on the same date (such as Sick Leave and Annual Leave where they have exhausted their Annual Leave balance), the timesheet upload will complete successfully. 
  • The employee import will now correctly assign the employee Rate Set to all roles when the following options are selected in Integration Central > Humanforce Payroll > Employee import options: Sync employee details > Assign employee default Pay Rates > Assign Pay Rates to all roles. 

  • The employee org structure upload from Humanforce Cloud now correctly uses employees' default location when creating the Org Structure in Humanforce Payroll. 
  • In the timesheet upload, cost codes are no longer sent with a timesheet if the cost code on the timesheet already matches the employee's default cost code in Humanforce Payroll. This stops a second entry for the same Cost Code (with 0 hours), being displayed within the Multi-Cost breakdown.

Timesheets

Management > Timesheets > Timesheets

  • No-Shows are now excluded from results when selecting the All timesheets view, as No-Shows are not timesheets. To see No-Shows, select the No-Shows or Unauthorised & No-shows options.
  • When you land on the Timesheets screen, it will now remember and display the last view you selected, instead of defaulting to the All Timesheets view. For example, if you were previously viewing Unauthorised, when you next visit the Timesheets page it will load the Unauthorised view again, so you can quickly pick-up where you left off.
  • The Unauthorised No-Shows view has also been renamed to Unauthorised & No-Shows, so it’s clearer that the view includes both unauthorised timesheets, and no-shows.

Employee Rostering

Management > Rostering > Employee Rostering

  • When you apply a filter to unassigned shifts in the Employee Roster, and then publish or unpublish all unassigned shifts, only the unassigned shifts falling within the filters applied (which are those displayed on the roster) will be updated.
  • Total group hours and costs are now correctly displaying when employees are assigned to multiple location, department and roles.

Template Manager for Rostering

Management > Rostering > Template Manager

On the Advanced Search/Fill shift screen, we are now auto-applying filters for Default Location, Department and Role, so that you can quickly find employees whose default Location, Department and Role match those set for the shift. For example, if a shift is for Arena, Section 1, F&B Attendant, the Fill shift screen will by default, show you employees whose default Location, Department and Role is also Arena, Section 1, F&B Attendant.

Demand Plan Feed

Admin > System Config > Demand Plan Feed Setup

When setting-up or editing a demand plan feed input, there is a new checkbox option to Apply Value Across Date Range. When selected, the Demand plan feed file upload allows a single value to be imported for all days within the date range, simplifying the preparation of the data to be uploaded.

SwiftPos Integration

Management > Advanced > Integration Central

When mapping fields for importing Sales data in Integration Central, you can now add custom fields. Simply type into the field to create a custom field during mapping.

Workforce Analytics - Sales Budgets

Management > Advanced > Workforce Analytics

You can now select multiple Locations and Departments in the Sales Budgets parameters when setting up Workforce Analytics reports.

Cost Centre File Import

Management > Advanced > Integration Central > File Import

  • The Cost Centre Mapping template for the file import has been updated with a new informative design to enable a smoother setup experience. 
  • When imported, the Cost Centre Mapping file now creates new cost centres in addition to updating existing ones.

New Release! Humanforce Cloud - Version 6.0.10

Introducing Employment type visibility in payroll alerts, improvements to Humanforce Payroll, greater Demand Planning capability, and more in our latest version of Humanforce Cloud. 

Payroll 

An Employment Type column is now displayed on the View Alerts screen. When exporting, the Employment Type will also be included in the spreadsheet. 

Integration Central – Humanforce Payroll     

There are improvements to the Employee Import and Cost Centre Mapping in Humanforce Payroll. 

Employee Import 

  • We’ve introduced a new setting so you can choose whether to import Employee Max Roster Hours. 
  • The Employee Import will import payslips for employees, even where an employee’s profile fails to update, such as when there are invalid data values. 

Cost Centre Mapping 

  • When imported, the Cost Centre mapping file now creates new cost centres in addition to updating existing values.  
  • The Cost Centre Mapping template for the file import has been updated with a new informative design to enable a smoother setup experience. 

Template Manager for Rostering

Importing templates to Employee Rosters has been improved, with rosters now successfully importing templates of less than 7 days in length.  

Demand Planning 

Demand Plan Rules set the conditions for calculating required staff based on data imported to the Demand Plan Feed. Previously, each combination of location, department, role, area, event and function could only have one demand plan rule applied to it. You can now save additional Demand Plan Rules (with different feed input types) for each combination of location, department, role, area, events and function. 

Reports     

We've strengthened protections for confidential information in the Summary Variance by Employee report. Where someone doesn't have permission to view costs above their access level, they will not be able to view totals on reports that include only one employee on a higher access level. This prevents misuse of the report to access individual costs of an employee on a higher access level by working backwards from a total. 

Timesheets    

We've strengthened the loading performance of the Timesheets page, with high volumes of Timesheets now displaying successfully in search results. 

Employee Management

  • The Rate Override field will now display the correct values when updating the pay rate field on the Employee Profile. 
  • You can now access an employee record, even if it contains an invalid location, department and role.

New Release! Humanforce Cloud - Version 6.0.9

Check out the latest improvements to Humanforce Cloud! 

Bid Manager 

It's now easier to tell which bids would be exchanged for an existing shift, with Exchange now being highlighted in the Type column.

Shift Bidding

Notifications will now be sent to both the publisher and the offerer of a shift, where an employee has accepted or declined an offer made via Bid Manager. This change is the result of feedback that (in many cases) the shifts may have been published sometime earlier, and it's often the person who sent the shift offer that requires notification, particularly where an offer has been declined, so they can take swift action.

Roster Templates 

  • You can now filter by Assigned shifts only in roster templates, allowing you to easily view the shifts you have assigned to your employees. 
  • You will now see a warning when reducing the length of your template so that there are no surprises when completing this action.  

Department Roster 

You now have the option to disable the employee max hours alert in your rosters, which provides you with the flexibility to decide if you need these alerts to manage your roster and stay compliant.  To disable the employee max hours alert:

  • Visit Admin > System Config > Clock In Settings > Edit. 
  • In the Alerts tab, find the Roster Maximum Period Hours alert and click Edit. 
  • Untick the Active option and Save.

Department & Employee Roster 

Shift times now accurately reflect the correct time when creating a shift that spans across a daylight savings time zone change. 

Employee Management 

  • When adding a revision, Rate Override will be updated according to the changes made to the Rate field. The revision will be active from the effective date, and for revisions with old rates, it will still show pre-revised rates. This change can be accessed in Employee Profile under Update Profile, Rate and Grade. 
  • Charge out rate is now available to be updated in Employee Profile via Management > Employee > Employee Management.

Login 

You can now see the version number you are on from the login screen making it easier for troubleshooting if you need to contact support for assistance. 

Payroll

When using the "Generic pay type" payroll export, the Consolidated Leave export now accurately populates the leave Start/End date values for the leave block.

🏁 Getting started 

To enable Template Manager:

  1. Go to Admin > Admin Config > Nav Manager
  2. Scroll down to Template Manager and select the ESS checkbox
  3. Scroll down to the bottom of the page and click Save.

If you don't have access to the Admin menu, speak to your administrator about having Template Manager added to your Management > Rostering menu.

New Release! Humanforce Cloud - Version 6.0.8

Check out the following improvements we've made for you!

Roster Templates

  1. You can now filter by Employment Type in roster templates, allowing you to plan rosters more easily for specific cohorts of your workforce, such as part-time workers.
  2. Quickly create shifts with more information pre-populated for you, based on the context of where you clicked the 'add shift' symbol in the roster template.
  3. Check out the new display options for shift tiles on roster templates. Simplify what you see by choosing what information is shown (and the order in which it's shown) so that you can quickly view shifts across the grid.

Bid Manager

See what matters most, with new filtering options in Bid Manager. As a manager working with large volumes of Shift Bids, you can now search for shifts that are available for offer only, so you can send shift offers quickly.

Timesheets

  1. Generating a timesheet from a roster now completes successfully when an employee has a termination date, and the rostered shift falls before or on the termination date.
  2. Navigate more easily on the Timesheets screen, with consistent Start Date headings, currency symbols and decimal places.
  3. We've fortified permission controls so that Timesheets can only be authorised when the main 'Authorise' permission is enabled. Before this change, enabling the 'Allow empty comments on timesheet authorisation' permission allowed users to authorise timesheets, when using the Bulk Authorise function.

Employee Roster

When grouping is applied to the employee roster:

  • The shift grid now aligns as expected
  • The unassigned shift section now accurately shows the number of unassigned shifts, instead of duplicating them, including when the page is reloaded.

Payroll

  1. Re-processing a pay run now reflects changes to the Shift Type in timesheets. For example, where a timesheet Shift Type is updated from 'Normal' to 'Annual Leave' and the pay run is reprocessed, the costings now accurately reflect the change to Shift Type.
  2. Pay run exports now contain the correct pay rates for timesheets where a rate override from an award special condition has been applied, and a tag for the pay rate has been created in the pay company’s export configuration.

Attendance

Simplify attendance management with new column options in Management > Availability > Attendance. Choose which columns to display to bring details such as Employee mobile number, right into the summary.

Reports

The Daily Coverage By Employee report will now print with overnight shifts displayed on a single page.

Employee Management

We've made it easier to add new revisions to employees' profiles, rates and grades, with the fields you need to populate now visible in one place. No scrolling required!

SSO

Admins can now choose to disable SSO for Kiosk Mode, where SSO is set to Dual Mode. Head to Admin > Security Config to make this change to your account.
