New Feature - Work App. Team View!

We're excited to introduce Team View, a new way employees can quickly and easily view other rostered team members. Available now in the Work App., Team View is designed to transform how managers and employees connect, coordinate, and manage work. It enhances shift coverage and swaps, increasing overall workforce productivity and satisfaction. 

Team View is accessible only when the assigned administrator has enabled permissions, and displays employees working at the same location and department.

 Team View introduces valuable new capabilities: 

  • Live Roster Visibility: Instantly see the names, roles, locations, departments, and shift times of colleagues rostered to work with you. 
  • Customisable Access: Visibility is permission-based, ensuring privacy and compliance while allowing both managers and employees to benefit from the feature. 
  • Multi-Shift & Multi-Location Support: Employees working multiple shifts or across different locations and departments can filter and view all relevant team members for each context. 
  • Role-Based Grouping: View team composition by role for better handovers and workforce planning.

Team View in Humanforce Work App. significantly improves the scheduling needs of today's workforce in several ways. 

Employees 

With team shift visibility, employees no longer need to rely on printed rosters, reducing team worker ambiguity. This makes arranging shift swaps, covers, and handovers easier, which is especially valuable in dynamic environments such as childcare or healthcare, where safety and service continuity are critical.

New Release! Work App - Version 1.20

We’re excited to announce Humanforce Work App. Version 1.20, which includes improvements in key mobile workforce management areas such as the addition of a new Team View screen, and updates to Schedule, Clocking and general performance improvements.

Team View – New Feature

Schedule > Team View

We’re excited to introduce Team View — a new way for employees to quickly and easily see who they are working with each day.

Accessible only when permissions have been enabled by assigned administrator/s, Team View displays employees working at the same location and department. 

Team View provides greater visibility across teams for employees so that they can be encouraged to pick up additional shifts with colleagues, and also increasing overall workforce productivity.

 

Schedule Screen Improvements

We are excited to share some Schedule screen improvements that will assist by delivering greater usability, efficiency, and clarity, ensuring a more intuitive and productive experience for all users each day. 

  • Expanded Shift Detail Screens: Shift Detail Screens now include additional fields such as shift type, event location, comments, and custom roster data. This provides users with comprehensive information at a glance, enabling better-informed decision-making.
  • Improved User Interface & Clarity: The Shift cards and Calendar UI have been updated to enhance readability. This ensures users can quickly identify the current day and navigate their schedules more efficiently.
  • Net Shift Hours: Net Shift Hours are now displayed directly on shift tiles, eliminating the need for additional clicks and saving time during shift management.
  • Shift Bid Withdrawal Process: Withdrawing from a shift bid now triggers a confirmation popup and updated bid language. Users are automatically redirected back to the Schedule screen afterward, streamlining the process and minimising disruptions to workflow.
  • Schedule Screen Fix: A previous issue causing the Schedule screen to display only the current day’s data by default has been resolved (Android devices). Users can now seamlessly access and review schedules for any date without manual adjustments.
  • iOS-Specific Calendar Sync: iOS users will experience smoother navigation thanks to improved synchronisation between the calendar view and the bottom day view. This ensures consistent data display and a more intuitive interface.
  • Visual Clarity for Non-Working Days: Grey/Black Out tiles, which indicate non-working days, are now displayed outside of the Leave section. This update provides clearer visual differentiation between leave days and other types of non-working days, reducing confusion.
  • Permission-Based Availability Screen: The availability screen will now be hidden for users without permission to manage availability This ensures a clutter-free interface and reduces confusion for users without access to set availability.


Clocking Enhancements

  • Location Accuracy Improvements: Clocking in now provides enhanced accuracy for users with geo-fence enabled, ensuring precise location capture when starting work. This minimises errors and ensures compliance with location-based shift requirements.


General UI and Performance Improvements

  • Leave Request Permissions: The 'Allow Advanced Leave Requests to be Made' permission is now strictly enforced. Users without this permission can no longer enter custom leave hours.
  • Roster Comment Visibility: Roster comments are now hidden on the clocking screen for users without the 'View Roster Comments' permission. This ensures sensitive or irrelevant information remains inaccessible to unauthorised personnel.
  • General UI & Performance Enhancements: Minor UI issues, such as incorrect net shift hours displayed on shift offers (Android), have been resolved. Android users will also see corrected net shift hour calculations on the Clocking screen, ensuring accurate data representation
  • Timesheet Improvements: Timesheet creation and editing have been streamlined across Android and iOS. Fixed issues include incorrect date population and error messages, resulting in a smoother, more reliable timesheet management experience.

What's New

Schedule screen updates

We have enhanced the schedule screen by updating the calendar component to include icons, making it easier for a user to see that they have a scheduled shift, leave or shift offer on a day.  

We have updated the colours on shift cards to improve readability and make important shift details stand out more clearly.   On iOS devices, users can now toggle between weekly and monthly views.  





Shift bid detail update

We have changed the bid button from“"Bid" to "Request Shift" and updated the confirmation popup to more accurately reflect that the employee has expressed interest in the shift but has not yet been assigned. This has been updated to improve clarity around the shift bidding process and when shifts are actually confirmed.

 

General UI and Performance Improvements

We have also made a number of minor general UI and performance improvements. For more details on these please read this Work App v1.19 release Help Article.

New feature – Shift Consent

Introducing Shift Consent, a new way rostering managers could quickly and easily stay on top of compliance and better manage costs by registering employee consent for shifts that either have been changed or are newly added shifts, via their mobile phones using Humanforce Work App.

This new development is a continuation of the Shift Confirmation process, and ensures employees are paid ordinary pay when shifts are consented to, or penalty payments are paid when not confirmed.

As a result, it will help organisations respond flexibly to workforce planning changes, whilst also delivering benefits such as better pay accuracy, pay-related compliance confidence and help control labour costs. In addition, Shift Consent will also benefit employees by improving employee overall work schedule and individual shift awareness through greater shift transparency.

🔥 What’s New?

Roster managers are now able to record consent from employees for working shifts.

As a continuation of the Shift Confirmation flow, the Shift Consent confirmation process is now available for all users in Humanforce Work App.

Roster Managers will be able to generate a record of consent for multiple shifts from Shift Consent Templates. Here they can customise a consent confirmation message in every Shift Consent template constructed.

Every template will be able to contain unique characteristics such as, Shift Type(s) + Award Profile(s) to ensure a shift only matches one template.

These templates support rich-text formatted messages, such as bullet points, bold, headings, etc., to allow the consent message to be customised and clearly communicated by employers.

Roster managers will not need to construct a new consent message each time. Instead, Shift Consent will automatically apply the pre-set Shift Consent message to display and activate the consent flow through to Employee’s on their Humanforce Work App, by assessing the combination of Shift Type and employee Award Profile.

For reporting purposes, the consent message is recorded alongside the shift offer. This will provide additional detail when performing audit trail reporting.

Shift Consent may help organisations stay compliant, manage costs better, improve pay accuracy, and respond flexibly to workforce planning changes, and help maintain employee satisfaction. 

Let’s take a more detailed look at the possible benefits...

Greater Pay Accuracy and Compliance confidence: All organisations are required to adhere to industry or labour awards. Those under Australian Fair Work Industry awards such as the General Retail Industry Award [MA000004], Clerks Private Sector Award [MA000002], and the Hospitality Industry (General) Awards [MA000009] are especially exposed to significant compliance risks unless they collect registered consent for shift changes in writing from staff. For organisations, improved pay accuracy and compliance with labour regulations are vital in avoiding disputes or penalties.

Compliance Reporting: by maintaining a clear record of agreements for each consented shift, it is easy to produce detailed shift consent reports when organisations need to perform employee shift consent related audits. 

Cost Control: by clearly communicating shift condition details and registering employee agreed consent, organisations can ensure consenting employees are paid ordinary hours, and therefore reduce labour costs.

Rostering flexibility: Shift consent helps organisations and teams quickly and easily respond to workforce demand planning changes.

New Release! Work App November updates

We are excited to announce user experience updates and convenient employee clock out prompts in our flagship workforce management mobile application – Work App. These updates enhance the overall mobile work experience of employees and improves work record accuracy.

Break Reminder at Clock-Out

 🔥 What’s new? 

We’ve introduced a new break reminder to employees in Work app so that they record breaks they may have forgotten to clock during their shift. Already available in the Humanforce web kiosk, this enhancement prompts employees to confirm if they took a break when none is registered, allowing them to manually input the start time and duration.

⭐️ Why it matters. Our break reminder to employees ensures timesheets accurately reflect working hours. In addition, these effective reminders reduce the need for manual timesheet adjustments made by managers during the authorisation process, thereby helping all organisations process significant numbers of timesheets more efficiently.

Schedule Screen Update 

🔥 What’s new? We’ve enhanced the employee schedule screen experience in Work App by allowing users to better surface the information they need, by allowing them to tap on the calendar to minimise it. We've also moved leave and availability requests to the top for quicker access.

⭐️ Why it matters. By redesigning the schedule screen we’ve provided more space for employees to view shift information such as rostered shifts, bids, offers, leave and availability, to make work-based decisions more efficiently.

New Language Support – Work App now available in Spanish and Portuguese 🇪🇸 🇵🇹 !

We're excited to announce that Humanforce Work app now supports Spanish and Portuguese languages.

🔥 What’s New?

Spanish and Portuguese-speaking users will now be able to navigate Humanforce Work app in their native language. The app will automatically detect your device’s language setting upon launch and display content in your preferred language. This means Spanish and Portuguese-speaking users will not need to make any changes within the app, ensuring a seamless and personalized experience for all these users.


⭐️ Why it matters

Supporting language preferences in the Work app enables employees to work in their native language, improving comprehension, reducing errors, and boosting productivity. In multilingual and non-English speaking environments, this feature allows multi-national and multi-language teams perform their tasks more effectively and confidently, leading to better job satisfaction and overall outcomes.

You can configure the language of the Work app using your device's settings. By adjusting the language setting on your iOS or Android device, the Work app will automatically display content in your selected language without needing to make any changes within the app itself.

Early access feature availability – Shift Confirmation

We are excited to announce that early access to our latest Humanforce Cloud rostering and scheduling feature within Roster Manager: Shift Confirmation.

With Australian Fair Work legislation stating that employees have the right “not” to work on a public holiday, organisations can not only ensure shifts are confirmed by employees for compliance purposes, but they can gain greater schedule control, boost operational efficiency, and enhance employee satisfaction.

Shift confirmation is a new feature that can be enabled for you by opting into early access for testing purposes and offers the same functionality as the 'Roster Offer' feature found specifically in Humanforce Back-Office.

To request access, simply submit a support ticket via Humanforce Help to have the feature enabled in Production for your organisation.

🔥 What’s New?

Shift confirmation introduces the ability to send out a request for the employee to confirm their acceptance of single or multiple shifts. This ensures employers can ask employees if they would like to work on public holidays.

This functionality will not be restricted to shifts only scheduled on public holidays. Customers will also be able to request confirmation on any shifts they choose.

In terms of the shift allocation process that has been designed to support this, shifts to be assigned to employees and then sent to the employee requesting their consent to work.

Shift Confirmation offers the same functionality as the ‘Roster offer’ feature found specifically in Back-office Humanforce. Back-office users are advised to use Shift Confirmation as a replacement.


⭐️ Why it matters

Shift Confirmation provides benefits for both employers and employees.

Legislative Compliance: The ability for rostering managers to have shifts confirmed by employees assists customers in the compliance of new legislation that requires employees to have the option to decline working on public holidays. Customers who adhere to their legal requirements, reduces the likelihood of incurring potential penalties or reputational damage.

Enhanced Employee Satisfaction: By enabling employees to confirm shifts, it gives them a sense of autonomy and control over their work schedules, leading to increased job satisfaction and potentially reducing turnover rates.

Improved Operational Efficiency: Confirmed shifts help ensure that only willing and available employees are scheduled, reducing the likelihood of last-minute absences and the need for emergency cover, thereby ultimately optimising workforce allocation and reducing operational disruptions.

Our eagerly awaited filter functionality allows managers to quickly surface critical information such as attendance based on specific locations and timesheets based on specific locations, departments or roles. This means less hassle scrolling and searching, which results in more time given back to time-pressed managers. 

These simple, yet powerful changes enable managers to perform on-the-go workforce management of their teams, thereby keeping them in the flow of their everyday workday, without having to perform these procedures via desktop on Humanforce web.  

Finally, region switching offers greater mobile workforce management flexibility to teams by enabling employees to log into other available regions where the company operates. This is particularly useful in employment scenarios that span various geographic regions. 

For Employees

Instance switcher offers greater employee flexibility. How? Well, when one employee has multiple employers, they can easily switch from one employer to another, in a single tap of the screen.
