New Feature - Humanforce Suite App Switcher

At Humanforce, we are constantly innovating to enhance the user experience and streamline the way you manage your workforce and HR processes. We understand that juggling multiple platforms can be time-consuming and disrupt your workflow, which is why we've developed a new feature designed to make your day-to-day tasks more seamless and efficient.  

Introducing the App Switcher - a navigation tool that enables you to easily transition between your Humanforce Workforce Management (WFM) and intelliHR in the flow of work. 

🔥 What’s New?

The App Switcher is an exciting enhancement to the Humanforce suite, allowing users to switch between Humanforce WFM and intelliHR, seamlessly. With this feature, you can now move between managing workforce tasks and HR processes with just one click. Integrated with single sign-on (SSO) technology, the App Switcher ensures you only log in once to move between platforms without interruption. 

This feature is available exclusively for customers using both Humanforce WFM and intelliHR.

⭐️ Why it matters   

The introduction of the App Switcher significantly enhances the user experience by simplifying access to both the Humanforce WFM and intelliHR platforms. This streamlined process eliminates the need to log in and out of different systems, saving time and reducing the hassle of managing multiple passwords. The ease of switching between platforms not only improves productivity but also allows you to fully leverage the capabilities of the entire Humanforce product suite, making it easier to manage your workforce and HR tasks in a more integrated, efficient manner. 


🏁 Getting Started   

If your organisation uses both Humanforce Workforce Management and intelliHR products, you will find the App Switcher icon on the top left corner of your navigation panel. Clicking this icon allows you to toggle between the Humanforce WFM and intelliHR platforms. If your organisation uses single sign-on (SSO), you’ll benefit from an even smoother experience, as you won’t need to re-enter your credentials when switching platforms. If your organisation does not have SSO, clicking the icon will bring you to the application’s login page, and you will need to enter your login credentials manually.

If your organisation is still in the implementation phase, the icon may not yet be visible. Please speak with your project team to ensure this feature is set up once your implementation is complete.

New Release! intelliHR September update

We are excited to announce some more new additions to our Onboarding feature. These updates are designed to simplify and enhance the user experience for both HR teams and employees and aimed to provide a more structured, intuitive workflow, making it easier for HR teams to manage new hires, issue tasks, and track onboarding progress directly from the employee's profile. 


User Disclaimer Update 

We have updated the User Disclaimer that all intelliHR users must accept upon logging into the platform. With this update, all users will be required to accept the new disclaimer upon their first login. Admins can easily track who has or hasn't accepted the new disclaimer by navigating to Settings >> User Accounts.  

What has changed:  

The coverage is still the same. However, we are making it easier for users to understand Humanforce's data privacy and retention policies and who our sub-processors are with direct links in the User Disclaimer - Privacy Policy, Data Protection Policy, and third-party sub-processors. 


Onboarding tab on Person Profile 

Home > My Profile > Onboarding 

HR admins can now manage onboarding directly from a new Onboarding tab on the employee’s profile. From this tab, you can: 

  • Issue onboarding from this page (if you did not configure onboarding when the person was created) 
  • View existing onboarding sessions and progress on the new starter's profile under Onboarding.
  • Change their Onboarding Template 
  • Delete their session 
  • Issue multiple onboarding sessions for the same person (if they have multiple jobs), however, only 1 active onboarding session can be in progress per job. 


Onboarding Configuration Moved  

People > Onboarding > Create Person 

We have introduced an improvement in creating new starter onboarding workflow by moving the Onboarding Configuration to after Schedule Workflow in Person Create Wizard.   

The new steps are now as below: 

  1. Create Person > Create User Account 
  2. Create Job > Add Job Requirements > Schedule Workflow 
  3. Configure Onboarding Steps 

This ensures that the new employee created must be assigned a job before assigning the onboarding workflow.  

 

 

New URL for new employee onboarding notification 

We have added a direct link to navigate to the new starter’s Onboarding tab from event notifications, making it easier to track progress and manage tasks.

Good news, you don’t have to do anything! Employees will be prompted to update their Humanforce Thrive app to the latest version from the app store. Once the app is updated, employees will see the new Cashback category updated with a new Gift Card section.

Web Kiosk Split Timesheet for Shift Allocation

We’re excited to bring the Shift Allocation feature to the Web Kiosk. Previously only available in the Back Office Kiosk, employees with the appropriate permissions can now split their timesheets for shift allocation when clocking out via the Web Kiosk. In addition, employees can edit both the Start and End times of their clocked timesheets directly from the kiosk, giving more flexibility in managing shift allocations and ensuring accurate time tracking.

This enhancement simplifies the process and extends the powerful Shift Allocation functionality beyond the back office, improving flexibility and accuracy for employees on the go.

Roster Manager

Minimum Location/Department Shift Gap Alert

A new alert feature has been implemented in Roster Manager to help managers ensure employees have adequate rest between shifts when they are rostered across different Locations or Departments. The system will now notify you if the required gap between shifts is not met.

Timesheets

Management > Timesheets > Timesheets

Improved Bulk Split Functionality

After performing a bulk timesheet split, the selected date or date range will now be retained on the Timesheet Admin screen, eliminating the need to reselect dates after completing bulk operations.

New 'Today' Feature for Date Picker

We’ve added a 'Today' button to the Timesheet Date Picker, allowing users to quickly navigate to the current month while preserving previously selected start and end dates. Today's date is also more prominently highlighted, making it easier to locate.

New Employee Name Sorting Option

In response to user feedback, we’ve introduced a new Timesheet Screen Setting that allows sorting employee names in "Lastname, Firstname" format. This makes it faster and more intuitive for managers to search and sort employees by last name. To enable this, simply access the sorting option under the Timesheet Screen Settings.

Editing Active Timesheets

When editing active timesheets, all fields except Comments are disabled from editing until an End Time is entered. This ensures that users are fully aware that the End Time must be populated to save any other changes. An inline warning will also notify users of this requirement, making the editing process clearer and reducing the risk of incomplete changes.

Leave Management

Template Hours for Leave Approvals

We’ve fixed an issue where approved leave using Template Hours was not properly carrying over the Period/Area/Event/Function assignments from the roster template to the resulting leave timesheet. This ensures that leave requested via template hours is now consistent with leave requested using Roster Hours.

Kiosks Clocking

QR Code Clocking Fix

We’ve resolved an issue when signing in via QR code would produce an "Employee code or email field is required" error if the keypad was hidden. Now, users can log in seamlessly without encountering the error, ensuring a smoother clock-in process.

Roster Manager

Quick access to most frequently used filters

We’ve updated the filter display to show the 5 most commonly used filters upfront when viewing Roster Manager on smaller screens. A "Show More" button is available to expand additional filters, optimising space and reducing clutter when all filters are not needed.


 Improved Sorting by Roster Name

When displaying employees by Roster Name and sorting by employee, employee names will now be sorted by the Roster Name rather than by First or Last name, making it easier to manage rosters at a glance.

Enhanced Employee Search in People View

The search function in People view has been improved to include employees who do not currently have any assigned shifts. This ensures comprehensive search results and simplifies employee management.


SMS and Push Notifications Templates

Improved Template Editing for Roster Send Offers

We’ve made template editing easier. Now, administrators can view all available field tags (merge fields) by clicking the new "Show Tags" button, allowing for more customisation when sending shift offers via SMS or Push notifications.
For example, inserting [COMMENTS] will dynamically populate shift comments when the offer is sent.

Streamlined Filter Application

A new Apply button has been introduced, allowing users to select multiple filters before applying them all at once, saving time by preventing the system from loading after each individual filter selection.

Profile Field

The ‘Profile’ field in the timesheet edit window now accurately reflects role revisions and their effective dates, ensuring better accuracy in timesheet management.

New ‘None’ Option for Area and Event Filters

Users can now quickly identify timesheets missing Area or Event data using the newly added 'None' option in the filters.

Enhanced Timesheet Splitting

The process of splitting timesheets is now more efficient with direct editing of Start and End times within the Split Timesheet window. This reduces the need for additional steps, making it easier to adjust timesheets.

Facial Recognition

2FA Code for Facial Recognition in Web Kiosk

We’ve resolved an issue with 2FA codes in Web Kiosk. Now, after successfully using facial recognition, the system will send a 2FA code to the employee for secure clock-in, ensuring that additional security is maintained.

Performance Improvements

The "Detail" format of the Pay Comparison Report has been optimised for better performance, making the report generation process faster and more efficient.

Humanforce Payroll Cost Centre Mapping Enhancements 

HF Payroll integration now offers support for the generation of Cost Centre Mapping strings from the following timesheet attributes using Name or Export Code; Location, Department, Role, Area and Event (we currently only support these for the moment). This eliminates the need for manual maintenance of custom mappings, saving significant system maintenance time. 

SwiftPOS Integration

What's new in intelliHR - August releases

We are excited to announce the addition of new charts to our Analytics pages. We have also updated the Business Entities page to include the business legal name and Australian Business Number (ABN) for our Australian customers. This update is in preparation for how your employees will onboard into your organisation using intelliHR’s new onboarding process and the collection of their bank, tax and superannuation details.  

Analytics  

Analytics > pages setting > charts 

We have incorporated FTE and Employment Condition charts into the Attrition Analysis, Tenure, and Starters & Leavers analytics pages to facilitate the analysis of your analytics data. By default, these charts are deactivated. To enable them on your analytics pages, navigate to the Page Settings at the top right corner, select Charts, and toggle the FTE and Employment Condition options ON as shown below. 


Business Entity Setup (Australia only)  

Settings > All Settings > Business Entities 

To help our customers streamline their onboarding processes, we are working on a new feature to help organisations collect and validate bank, tax, and superannuation details within their onboarding flow. We aim to have this feature available by the end of September.  

To support your organisation to collect and validate bank, tax and superannuation details from new starters via intelliHR onboarding, we have updated the Business Entities page in the Settings with required fields such as your organisation’s legal name and ABN (Australian Business Number). This is a requirement when a TFN Declaration is submitted during onboarding. 

To set this up, follow the instructions in our help file link below. The instructions will guide you through setting up or editing your existing Business Entities details for TFN Declaration and your organisation’s default Superannuation Fund.

New Release! Humanforce Cloud - Version 6.0.34

We’re thrilled to introduce our latest release, this update brings several enhancements to the Roster Manager and Timesheets modules, designed to streamline your workflow and improve overall usability. Below, you'll find a detailed overview of the new features and fixes included in this release.

All Humanforce Cloud accounts and UAT environments will be automatically updated to bring you the items below, overnight on Wednesday 4th September 2024.

Timesheets

Management > Timesheets > Timesheets

A loading spinner indicator has been introduced when using the bulk 'Authorise' and 'Authorise to Roster Time' functions. This new visual cue will indicate your request is being processed, enhancing transparency during bulk editing.

When adding or editing a timesheet, the Shift Type dropdown will now only display options relevant to the employee’s effective award profile based on the date of the timesheet, rather than today's date. This ensures more accurate assignments and reduces errors.

Roster Manager

Management > Rostering > Roster Manager

Manager comments now reflect the correct date and time based on the logged-in user's timezone, providing clarity when reviewing past comments.

The Roster Multi Start Time alert has been implemented within Roster Manager to warn managers when an employee is already rostered for a future shift in a different location or department within a specified number of minutes.


An issue that prevented employee leave from being displayed correctly in People View has been resolved, ensuring all approved leaves are now accurately shown.

Users without access to the Template Manager were previously unable to create shifts within Roster Manager. This issue has now been fixed, allowing those users to create shifts as needed.

A new option has been added under Actions > Unassign > All Unavailable, allowing managers to easily unassign shifts for unavailable employees that overlap with their assigned shifts. This enhancement simplifies roster management and reduces scheduling conflicts.

When importing a template, you can now filter by Location and Department, making it easier to find and apply the correct template.

Custom Roster Fields

Admin > System Config > Custom Roster Fields

A permission issue has been resolved that required users to have both the Custom Roster and Shift Definition permissions enabled to access the Custom Roster configuration page

Language Support

We’ve added support for the Portuguese language, allowing users to select Portuguese as their preferred language. This enhancement supports our commitment to providing a more inclusive experience for our global user base.

New Language Support – Work App now available in Spanish and Portuguese 🇪🇸 🇵🇹 !

We're excited to announce that Humanforce Work app now supports Spanish and Portuguese languages.

🔥 What’s New?

Spanish and Portuguese-speaking users will now be able to navigate Humanforce Work app in their native language. The app will automatically detect your device’s language setting upon launch and display content in your preferred language. This means Spanish and Portuguese-speaking users will not need to make any changes within the app, ensuring a seamless and personalized experience for all these users.


⭐️ Why it matters

Supporting language preferences in the Work app enables employees to work in their native language, improving comprehension, reducing errors, and boosting productivity. In multilingual and non-English speaking environments, this feature allows multi-national and multi-language teams perform their tasks more effectively and confidently, leading to better job satisfaction and overall outcomes.  


🏁 Getting Started  

You can configure the language of the Work app using your device's settings. By adjusting the language setting on your iOS or Android device, the Work app will automatically display content in your selected language without needing to make any changes within the app itself.

New Release! Humanforce Cloud - Version 6.0.33

In this release, we’re excited to deliver a few enhancements to Timesheets and the Roster Manager feature, improvements to the Payroll Processing Screen, and more.

All Humanforce Cloud accounts and UAT environments will be automatically updated to bring you the items below, overnight on Wednesday 21st August 2024.

Timesheets

Management > Timesheets > Timesheets

The ability to split multiple Timesheets that share the same Start Date is now available, providing a faster method for splitting multiple timesheets.

When adding or editing a timesheet, the Shift Type dropdown now only returns items that are available under the employee’s effective award profile based on the date of the timesheet. Previously, this drop-down was showing Shift Types based on today’s date.


The Cost fields for all Authorised Timesheets in all expanded groupings will now be refreshed when a related timesheet becomes authorised or when changes are made to its Pay Start or Pay End using the inline edit function, eliminating the need to manually refresh to see the cost impact of changes.

We’ve resolved an issue that caused the date picker in New Timesheets from Rosters to only be partially visible until hovered over. The date picker now appears correctly at all times.

The recent date picker enhancements that provided the new 'Today' button, which caused issues with using the previous/next arrow buttons to move between predefined pay periods, have been reverted, and the issue is resolved.

Roster Manager

Management > Rostering > Roster Manager

Approved leave hours are now included in the CUR hours displayed for employees on People view. 

The Status filter now provides the options of Published and Unpublished shifts.

You can now easily unassign all shifts assigned to employees who have approved leave. A new option has been added under Actions > Unassign > All on Leave.  

Within Shift view, you can now bulk create unassigned shifts for a single location and department.  When clicking on the + icon to add a shift, you now have the additional option to Add multiple shifts.


Template Manager

Management > Rostering > Template Manager

You can now filter your templates by Location and or Department to easily find the template you need.

Workforce Analytics

Management > Advanced > Workforce Analytics

The Export_Code label in the Timesheet datasource has been renamed to Location_Export_Code to better indicate which field the export code data is related to.

The Timesheet datasource now correctly excludes deleted adhoc allowances from the AdhocAllowanceCount.

Payroll

Management > Timesheets > Payroll 

The Payroll Processing Screen now correctly adheres to the permission "Allow viewing/editing payruns processed by other users." Accordingly, it will show payruns processed by other users only if the permission is enabled for the user. Previously, the payroll screen would ignore the permission and show all payruns processed by all users. 

Filters for Location, Department, Role, Employment Type,  and Award Profile have now been updated with a new dropdown list that allows easier data selection.

 

Humanforce Cloud now supports exporting payroll data files for Empower Payroll (EMPOWER_CONFIG1).  

Pay Comparison Report

Reports > Payroll > Pay Comparison Report

An issue affecting the selection of employees for Pay Comparison report has been resolved. The screen now displays the Employee Code, and Payroll code along with the employee name. 

Messaging

Employee > Messages 

Messaging |  An issue affecting the selection of employees when sending a message has been resolved. The screen now displays the Employee Code, and Payroll code along with the employee name.
