New Feature – Candidate Forms in Humanforce Talent!

We’re excited to introduce Candidate Forms, a better way to collect structured data from candidates after they’ve submitted their job application, without adding friction to the initial application experience.

With Candidate Forms, you can now send tailored, job-specific forms to candidates at any stage of the recruitment process. Whether it’s collecting onboarding details, certifications, medical declarations, or DEI info, Candidate Forms helps streamline your workflows and keeps everything securely tracked in one place.

 

What’s New

Humanforce Talent now includes a dedicated Candidate Forms feature, giving you the flexibility to:

  • Create and manage configurable form templates through a new self-service interface
  • Trigger forms to candidates 1:1, in bulk, or automatically as part of your recruitment workflow
  • Collect structured responses, attachments, and secure data post-application
  • Automatically track form requests and completions in the candidate profile and job vacancy view
  • Support up to 5 forms per job vacancy to collect all the data you need, when you need it

Candidate Forms helps you modernise and streamline your hiring process:

  • Reduces friction at the point of application by shifting non-critical questions to later
  • Speeds up screening by collecting key data points in a structured, repeatable way

Getting Started

HR and Recruitment Admins can begin creating templates using the new Forms interface, and issuing forms as part of the job vacancy workflow. Candidates will receive a secure email or SMS to complete the form, and their responses will be automatically stored in-platform.

New release! Humanforce Cloud Workforce Management – Version 6.0.64

We’re excited to announce the release of Humanforce Workforce Management (Cloud) version 6.0.64. This release includes powerful enhancements across Roster Manager, Timesheets, Employee Management, integrations and more, helping to deliver smarter workflows and more flexibility for frontline managers and admins.

  • Staging environments were updated on Thursday, 30 October 2025
  • All Humanforce WFM (Cloud) accounts and UAT environments will be automatically updated overnight on Wednesday, 12 November 2025


Integrations

Employee data forwarding now available to all Humanforce HCM suite customers

We’re excited to announce the general availability of Employee Data Forwarding across the Humanforce suite. This feature enables employee data updates made in Humanforce HR to automatically flow into WFM, and then into Payroll, ensuring data consistency across systems, reducing manual work & operational risk and improving onboarding accuracy.

This update is relevant for our multi-product customers using the Humanforce HCM suite (including HR, WFM and Payroll), and helps them to create a seamless, connected experience from hire to pay.

Bulk timesheet uploads now supported via file import

You can now upload shift and timesheet records in bulk directly into Humanforce WFM using the Integration Central file import tool. This feature supports efficient time data management across teams, especially for backdated or large-volume uploads during payroll reconciliation or compliance reviews. It’s ideal for organisations managing shifts at scale or importing historical work records from external systems.

Upload adhoc allowances in bulk with file import

You can now upload Adhoc Allowance records in bulk directly into Humanforce WFM using the Integration Central file import tool. Whether you're backfilling historical entries or managing large-scale allowance updates, this feature makes it easier to maintain accurate records without manual entry.

Import files can be run on-demand or scheduled using Humanforce SFTP for regular updates. Validation ensures clean, reliable data, aligned with configured Pay Types and employee codes.

Roster Manager

Default area filter for more targeted shift matching

We’ve introduced a new “Default Area” filter when filling shifts. This helps managers quickly identify employees whose default work area matches the area of the shift, ideal when it's critical to assign shifts based on familiarity with specific areas.
Note: the filter is optional and not automatically applied.


Update to red dot indicator for unavailable employees

We’ve improved how employee availability is displayed in the Fill Shift window. Previously, red dots (used to indicate staff unavailability) were not consistently shown for certain cases. Now, when an employee is marked as “Unavailable by default” or has recurring unavailability covering the entire day, the system will correctly display the red dot indicator, making it easier for managers to avoid scheduling unavailable team members and reducing shift offer errors.

Copy labour group to any date 
Event management in Roster Manager is streamlined using the Copy Labour Group feature - and now the dialog supports copying a labour group to any future date, including dates that aren’t currently loaded in the roster view. After copying, you’ll also get a useful link to jump straight to that day, making forward planning for Events even more seamless.


Faster employee lookup for shift assignment
We’ve improved performance when assigning shifts using the shift editor. The system now fetches the list of available employees more quickly, so you can select the right person for the job with less delay, especially helpful in high-volume rosters.

Fix for role revisions with special characters

You can now edit employee profiles without hassle, even when pay rate names contain special characters like single quotes or tab characters. This resolves previous save or display issues in the role list, ensuring smoother updates without any errors.

Reduced unnecessary password change alerts
We’ve improved how access-level permission changes are handled. If a manager edits an employee profile without permission to modify access levels, the system will no longer incorrectly trigger a password reset prompt. This avoids confusion and ensures only relevant alerts are shown.


Leave Approvals

Smarter gray-out period overrides for approvers

We’ve enhanced how gray-out period rules are applied during leave approvals. Now, if an approver has the “Allow request leave during gray-out maxed” permission, they’ll see a clear summary of impacted gray-out periods and can proceed with approval. This provides greater control for authorised users, while still blocking approvals for those without permission, ensuring policy enforcement with flexibility.

Timesheets

Improved validation for adhoc allowance quantity entries

We’ve improved how adhoc allowance quantity entries are validated. If a user enters a value that exceeds the maximum or falls below the minimum defined in the Pay Type settings, an error message will appear and the field will reset to the nearest valid value.
Note: Existing timesheets with quantities outside the allowed range will now display an error when edited, giving managers the opportunity to review and adjust allowances as needed.


Roster Alerts / Roster Notifications

Complete shift qualification checks in large rosters

In very large rosters, the system may have not completed loading all warnings tied to “Employee Shift Definition Qualifications”. This validation logic has now been optimised to ensure every relevant qualification warning is displayed, regardless of roster size, supporting better compliance and visibility.

New alert for insufficient leave balances in Humanforce Cloud

A new Timesheet alert is now shown when an employee has insufficient leave for the leave type selected on their timesheet. This gives Managers and Payroll Admins early visibility of insufficient leave issues, allowing them to be addressed promptly and ahead of payroll processing. The alert both highlights the timesheet record and surfaces a notification.

For those customers using Back Office to process payroll, this new alert fulfills the same purpose as the Leave Adjustment screen in Back Office, to support your transition to Humanforce Cloud.

To enable the Timesheet alert for Insufficient Leave Balance, head to Admin > System Config > Clock In Settings. For step-by-step guidance on how to set up Timesheet alerts, visit Configuring Timesheet Alerts on Humanforce Help.

Roster Manager

Management > Rostering > Roster Manager

More space for more shifts

Based on customer feedback, the Roster Manager grid layout has been optimised to accommodate more shifts. While your screen real estate depends on your device, it now shows 8 days (on a browser at 100% zoom, on a 16” laptop, with the main menu minimised).

Still need more shifts visible? Try reducing your browser zoom setting (using Ctrl and minus key). At 80% zoom, a 16” laptop will now show 10 days in the Roster Manager grid.

Default start times of Unpaid Breaks set according to Award Profile

When adding shifts for an employee, the system now sets the Unpaid Break Start Time to the latest possible time (allowed by the Break Schedule configured in the relevant Award Profile). This ensures breaks are added consistently and in compliance with award rules.

There is no change to the break duration, only to when the break starts. Previously, breaks were placed mid-shift; now they are scheduled as late as possible (based on the schedule) while remaining compliant. 

One exception to note: if you edit a shift and choose “Yes” when prompted to update break minutes for compliance, the existing break time will remain unchanged if it’s within shift hours and already meets Break Schedule requirements. This prevents overwriting intentional break placements made by managers or shift definitions.

Shift Offers have “Offered” status in Roster Manager shift tiles

Bid Manager provides the option to offer a shift to a bidder. These shifts were appearing in Roster Manager with the status of "Confirmation Requested" which was not accurate - as they've actually been offered (to a single employee). As such, we've updated the shift tile to ensure the "Offered" status is now reflected in Roster Manager.

With filters applied, People view shows all employees, including those without shifts

The People View has been enhanced to include the display of all employees with the assigned Location, Department or Role when applying filters - even if they have no shift. Previously, when filters were applied, any employees without shifts became hidden.

We understand this change is important for rostering managers to review shift allocation across their entire team, and provides a more consistent experience for users transitioning from the older Employee Rostering screen. 

Alerts Service 

We've improved the Humanforce Alerts service to allow notifications to be triggered for shifts marked as Request Confirmation when you have an alert configured for shifts that are unconfirmed. This was a logical change because a shift waiting for confirmation should be considered the same as unconfirmed.

Template Manager

Management > Rostering > Template Manager

The Roster Minimum Period Hours and Roster Maximum Period Hours alerts have an option to exclude non-attended roles from their scope, visible in the configuration within Clock-In Settings. Template Manager has been updated to now correctly respect this setting when calculating roster alerts for employees.

This ensures any non-attended role shifts (such as sleepover shifts where the min/max hour alerts should not be considering “non-worked” hours) will be properly excluded in the worked hours scope for these alerts.

Payslip imports

Management > Advanced > Payslip Import

We’ve resolved an issue where large payslip PDF imports (e.g., ~5000 pages) caused duplicate payslip records to appear on the Payslip Delete page shortly after import completion. The import process now correctly handles high-page-count files, ensuring each payslip is imported only once regardless of file size or timeout conditions.

Onboarding (Australia only)

Superannuation selection now part of the onboarding flow

We’ve streamlined the WFM onboarding experience by embedding superannuation selection directly into the workflow. New employees can now choose their preferred superannuation fund during onboarding through our integration with SuperAPI, eliminating the need for separate forms or manual data entry.

Import Employee Contacts to WFM via new file import capability

Customers are now able to import Employee Contacts to WFM using this latest file import added to Integration Central. Along with the capability, it also delivers improved error handling and user experience. This file import replaces the legacy contacts file import supported in WFM BackOffice version.

Apply with SEEK - Now Available Across APAC!

We’ve expanded our Apply with SEEK functionality to now support candidates applying via JobsDB and JobStreet, allowing key information like name, contact details, and CV details to be pre-filled from their profile. Candidates can still review and edit their application before submitting, making it faster and easier to apply on both desktop and mobile.

Previously available for SEEK Australia, this enhanced experience is now expanding to support candidates across APAC. All Humanforce Talent customers who use JobsDB or JobStreet and require candidates to apply on their Careers site will be automatically upgraded to the enhanced Apply with SEEK experience.

Roster Manager

Future terminations are now visible in People View
Employees with a future termination date are now correctly displayed in People View when you’re viewing dates where the employee is still active. This ensures they can be included in roster planning right up until their termination date, avoiding coverage gaps.

Improved workflow for Request Confirmation
To prevent duplicate notifications to employees, the system now blocks retriggering a shift confirmation request if a shift is already in “Request Confirmation” status. Users must first unconfirm the shift before sending a new request. This eliminates repeated messages from bulk confirmations and improves employee experience.

Roster Alerts performance improved
Large rosters with many employees could occasionally fail to return alerts due to performance issues, particularly with the “Hours Required” alert. This has been optimised for reliability, ensuring alerts continue to work even in very large rosters.

Event Management – Labour Groups

As part of our continued focus on improving the rostering experience for event-based workforces, several enhancements have been made to how Labour Groups work within Roster Manager.

New actions for Labour Groups in Role View

When working in Role View, with Group by Labour Group enabled and viewing a single day, you can now perform key actions such as Edit, Copy, or Delete Labour Groups directly from the kebab menu. In addition, you can use Bulk Edit Shifts and Add Multiple Shifts to quickly apply updates or create shifts in one action. This enhancement makes it faster and more intuitive to manage event rosters at scale, saving time and improving consistency when handling large or complex group schedules.


Create Labour Groups directly in Role View

You can now create new Labour Groups directly within Role View when Group by Labour Group is enabled and viewing a single day. This allows event managers to add and manage groups without leaving the roster screen, improving efficiency and supporting faster event setup workflows.


Remember the Labour Group grouping in Role View

Roster Manager now remembers your Group by Labour Group setting when switching between single-day Role View and other views. This means that when you return to Role View, your grouping preferences are preserved, reducing repetitive setup and ensuring a consistent rostering experience, particularly valuable for event managers working across multiple views.

Timesheets

Optimised saving of timesheet costing data

We’ve enhanced system performance by enabling costing data to be saved in bulk rather than one record at a time. This reduces database load and accelerates authorisation and costing workflows, allowing timesheets to process faster, especially during high-volume payroll periods.

Leave Approvals

Management > Timesheets > Leave Approvals

Grace period for leave editing
Leave approval rules have been updated to respect the “No. of days grace editing for elapsed periods” setting in Access Levels. Managers can now unauthorise or delete past leave requests within the configured grace window, instead of seeing a blanket “no permission” error. This provides flexibility for late adjustments while maintaining governance.

Payroll

Management > Timesheets > Payroll

Standardised PayType export format

The PayType value [PAYTYPEVALUE:HH.MM] export logic in Humanforce Web has been standardised to match BackOffice. Decimal-hour to HH.MM conversions now apply consistent rounding (e.g., 7.6 hours exports as 7.36), ensuring payroll exports are uniform and accurate across both systems. This alignment prevents data inconsistencies and eliminates manual correction of time values.

Improved handling of role and location assignments

When multiple managers edit an employee’s record, updates are now applied without overwriting existing department or role assignments made by others. This enhancement ensures employee configurations remain accurate and consistent, reducing errors caused by limited location visibility and supporting smoother multi-manager collaboration.

Admin Settings

Prevent duplicate Location Settings records

Admin > Org Structure > Locations

The Location Settings save process has been strengthened to prevent duplicate entries when the save button is clicked multiple times. This change safeguards against data duplication, improving system stability and ensuring administrators always work from a single, accurate configuration record.

Save custom shift type ordering

Admin > Award Config > Shift Types

You can now save the sequence order of shift types in the Shift Type Maintenance screen when sorting by name or export code. The confirmation message has been updated to clarify that saving applies the new sequence across all related areas. This update gives administrators greater control and consistency over how shift types appear throughout the system.


Integration Central

Management > Advanced > Integration Central

MYOB terminated employee imports
Based on customer feedback, employee termination dates from MYOB will now always be imported into WFM, regardless of the employee’s status in MYOB. This ensures employee records are more accurate and up to date for reporting and compliance. Help article

Improved employee emergency contact sync
Emergency contacts in Humanforce HR are now imported into WFM with primary and emergency contact checkboxes ticked, ensuring details are correctly reflected. Employees can also update their primary emergency contact in the Work-App, and this will flow through WFM to HR. This closes data gaps and reduces admin overhead.

Qualification import improvements
Only approved qualifications with statuses Current, Future, or Expiring Soon  will now be imported from HR into WFM. This ensures only valid and actionable qualifications are carried across. Note: deleted qualifications in HR will still need to be manually deleted in WFM until auto-delete support is introduced.

Humanforce HR - August / September Product Wrap-Up

We've been busy improving key workflows and expanding platform flexibility to support the way your teams operate. From better contract visibility to smarter custom field management, this release is all about increasing clarity, control and efficiency across your HR processes.

Let's take a look at what we've released:

Contract Reject Reasons

We’ve added the ability to include a reason when rejecting a contract, making it easier to communicate what needs to be reviewed or why the contract won’t proceed. This helps streamline contract workflows and reduce unnecessary back-and-forth.

Job Custom Field Categories

You can now group your Job Custom Fields into categories, making the Jobs tab cleaner and easier to navigate, especially for teams managing a large volume of custom data. Categories behave just like those for Person and Remuneration fields, and can be created and edited in Settings > Custom Fields > Job.

New Qualifications UI Updates

Based on your feedback, we’ve made further enhancements to the Qualifications interface:

  • Drag-and-drop document uploads have been reinstated
  • Fewer clicks needed to submit qualifications
    We're continuing to improve based on your input — keep sharing your feedback via Help & Support > Product Feedback.

Visibility of Superannuation Processing

For Australian customers using SuperAPI, you’ll now see a status indicator if super details are still processing. Plus, you’ll get earlier access to payroll-critical bank and tax info, even while super is being finalised, helping to reduce delays during onboarding.

New Email Log Status for Template Errors

A new Template Error status has been added to the Email Log to help identify issues with Event Notification configurations. This makes it easier to pinpoint and resolve template problems quickly, keeping your communications running smoothly.

Expanded Address Fields in Public API

We’ve added new address fields to better support international formats, including those used in New Zealand. These updates give API consumers more accurate and flexible address handling across the platform.

New fields include:

  • Locality
  • Sublocality
  • Neighborhood
  • Admin Level 1
  • Admin Level 2

Coming Soon (Early Access): Qualification Approval Notifications
To reduce the risk of missed qualification approvals, we’re introducing a new Qualification Approval Required event type to the Event Notifications feature. Admin users with the appropriate permissions will be able to configure alerts when a qualification moves into an Awaiting Approval state, making it easier to stay on top of compliance requirements in regulated industries.
