New Releases! Work app - Versions 1.22 and 1.21

We’re excited to introduce the latest some significant updates to the Humanforce Work App, designed to make managing work simpler, clearer, and more connected for both managers and employees.

These new releases deliver enhanced employee communications, timesheet management, earnings visibility, and schedule clarity - alongside fixes and performance improvements across both iOS and Android.

Version 1.22

Release date: commencing early September 2025

Calendar Sync 

Profile > Calendar settings

We've introduced Calendar Sync that allows users to synchronise their shifts with a calendar on their device, for better work-life coordination. Designed to deliver seamless employee calendar management, generate faster shift coverage and greater employee engagement today, employees can now enjoy automatic calendar sync updates, calendar link sharing, and flexibly syncing across preferred calendars.

Manager Timesheet Management 

Manager > Timesheets

Managers now have more control directly within the Work App, including the ability to end active timesheets. This improves oversight and reduces errors from incomplete timesheets.

Earnings Screen

Earnings

The "Total hours" label on the Earnings screen has been updated to reflect "Payable Hours", which does not include unpaid breaks. Timesheet cards also now show net hours.

General Fixes

iOS Minimum Version: The minimum supported iOS version has been updated to iOS 15. By updating to a newer iOS version, we're able to use the latest Apple technologies to make the app's interface load more quickly and use less storage space on your device.

Schedule screen: The schedule screen will now load 31 days instead of just one week when the user expands to month view, providing a more comprehensive view of their schedule.

Messaging

Messages > Chat

Messaging is now available in the Work App as a beta release. Designed to cut communication chaos, connect teams, and drive productivity, Messaging makes communication effortless, engaging, and drives real action through enhanced communications. Employees can now perform direct and group messaging, rich multi-media sharing, embedded messaging in the Schedule screen, and advanced permissions and filtering.

Enhanced Earnings details

Earnings

We’ve redesigned and expanded the Earnings screen to give employees more clarity and insight into their work history and pay.  Users can now access their full timesheet history from the Earnings screen, view updated Earnings and Payslip screens with improved readability, and see pre-tax earnings on authorised timesheets where permissions allow. Employees now gain better control and understanding of hours worked and pay received.

Notification Updates 

Messages > Notifications

Employees can stay on top of what matters most with the following new notification updates:

  • Customisable Unread Messages: Users now have the option to enable "show unread messages by default" for better visibility of new communications.
  • Individual Notification Deletion: You can now delete individual notification messages, giving you more control over your inbox.

General Fixes

  • Resolved issues where attachments were not displayed against leave requests in Manager Approvals.
  • Fixed cases where the Clocking screen did not refresh after an auto clock-out overnight when the app remained open in the background. This should resolve ‘invalid access’ error on clocking.
  • Addressed an issue where users could authorise their own timesheets regardless of their assigned permissions.
  • Added the ability for an employee to view manager comments on approved leave requests in the employee view.
  • Resolved an issue with stale data in QR code for logging into kiosks for some users.

Android: 

  • Users will no longer encounter app crashes occurring in the PIN screen when resuming the app from the background after a long period.
  • We have also fixed duplicate entries displayed in Employee Search results for Managers.
  • We have also addressed the issue of the Manager Attendance screen only showing a maximum of 20 employees. It now correctly loads all employees.
  • We have fixed an issue with handling multiple default leave hour periods when "Allow Advanced Leave Requests" is disabled. Users who are rostered to multiple shifts in a day will now correctly see these shifts displayed in a leave request where leave hours are sourced from the roster.

iOS:

  • Users will no longer encounter an error message when opening payslips, and we have resolved an issue where attachments containing images were not working correctly on iOS 18.
  • We have also fixed an issue where managers previously couldn't view timesheet comments unless the "allow editing of comments" permission was enabled.

Roster Manager and Template Manager

We’ve improved the consistency of the overtime warning display in Roster Manager and Template Manager, so it displays consistently in shift tiles and the Alerts Panel. This removes the need to open the shift edit window to see overtime warnings, increasing rostering efficiency.

Performance optimisation for Bulk Unassign, Bulk Delete and Role view

Bulk Unassign and Bulk Delete actions in Roster Manager have been optimised to execute more efficiently, contributing to faster completion of rostering when working with shifts in bulk. 

We've also made further speed improvements in the Role view by rendering shifts more efficiently, helping your rostering team locate and manage shifts faster.

More flexibility to import Templates with invalid break dates

With this change, you can import Roster Templates with invalid break dates (which might be caused by legacy template data) into Roster Manager. By using the shift dates instead of break dates, this change gives you more flexibility.

New shift error alert: Before Employee’s Start Date

We’ve introduced a new shift error alert to flag when a template import has created a shift for an employee before their start date. The shift appears with an error icon and tooltip Before Employee's Start Date to help explain that this shift exists before the employee is due to start work.

Improved consistency of alerts with Roster Manager

This update improves consistency across Roster Manager and Template Manager for roster alerts. The Employee role qualification alert is now fully implemented so that the Restrictive option (to trigger an error rather than a warning), and also the Employee Must/Must Not have qualification behaviour is now in place.

Leave Management

Management > Availability > Leave Approvals

Strengthened permissions for leave changes in past pay periods

We’ve strengthened permissions so users can only unauthorise and/or delete leave in past pay periods if they have both the Allow edits within elapsed pay period and Un-authorise or delete leave in the past permissions enabled. This ensures consistent control over past-period leave changes, preventing unintended alterations outside defined pay periods.

Timesheets

Management > Timesheets

Timestamps stored in UTC to strengthen Timesheet data consistency and usability

To ensure consistent, accurate time data across time zones, we’ve changed the way timestamps that capture when a Timesheet was Authorised and Modified are stored. These timestamps are now stored in UTC and automatically converted to the user’s local time for display, improving accuracy and use of the data in Workforce Analytics, auditing, and integrations.

REST API

Integrations > REST API

Updates to role revisions and payslips for terminated employees

We’ve removed restrictions that prevented updates to role revisions and payslips for terminated employees via REST API. This allows to perform necessary adjustments for employees terminated within a pay period, ensuring accurate payroll processing.

Over the last few months, we’ve focused on laying the foundation for stronger performance, improved branding consistency, and better regional support, delivering small but impactful updates that help streamline your experience across the Humanforce Talent platform. 

Here's what's new:

Improved Location Matching for Job Posts 
We’ve introduced a new option to improve how job locations are matched during candidate searches, especially for roles covering large areas or broader suburbs. Customers can now choose between “pin” or “box” radius matching when posting jobs, giving you more control over how your vacancies appear in candidate search results. This ensures better visibility for relevant job seekers and stronger application volume for geographically broad roles. 

 

More Currencies for Global Recruitment 
We’ve added support for 10 new regional currencies, including the Argentine Peso, Brazilian Real, and Chilean Peso. This means job listings that display remuneration will now be more locally relevant to candidates across Latin America and surrounding regions, improving the candidate experience for global hiring. 

 

Career Site Upgrades Underway 
The next wave of customer migrations to our new Career Node infrastructure is now complete. This upgrade helps improve the reliability and performance of your career site. We also addressed a technical issue that was generating unnecessary noise in job post URLs. 

Branding Polished Across the Platform 

We’ve made several small branding updates to align Humanforce Talent more closely with the Humanforce brand. This includes an updated logo in job alert emails, refined in-platform text, and the removal of legacy visuals. These updates ensure a more polished, cohesive experience for you and your candidates. 

Improved Job Creation Validation 
We've released an enhancement to how users interact with custom fields during job creation and editing when using the Humanforce Talent APIs. Now, mandatory picklist fields that are defined in the payload with an empty value, will be treated as not present, preventing these fields from causing an error due to validation checks. This helps prevent delays in creating job vacancies, and allows for the standard validation around mandatory fields to continue to ensure these requirements are met before a job is opened. 

Phone Number Input Validation 
To help eliminate application sync errors and reduce manual clean-up, we’ve enhanced phone number validation across the platform. From candidate applications to client and agency management, phone fields will now only accept numbers and spaces, ensuring cleaner data and reduced sync issues with integrations.

New feature - Multi-level Timesheet Approval!

We’re excited to announce the release of Multi-Level Timesheet Approval in Humanforce Workforce Management Timesheets - a powerful new enhancement designed to give organisations even greater control, accuracy, and flexibility in their timesheet approval and pay processes.  

Through this optional pre-authorisation feature, timesheets can now go through two levels of approval before payroll is finalised, providing an extra safeguard for compliance, payroll accuracy, and workforce management efficiency.

Roster Manager

Clearer leave alerts now show actual leave period

Previously, the Leave alert displayed only the full shift time, making it difficult to see how leave impacted the roster. The alert now shows both the leave period and the rostered shift time, making it easier to assess any overlap and adjust staffing as needed.


Accurate qualification checks for shift alerts

We’ve corrected a scenario where the Qualification Check alert could incorrectly appear in the notification panel, even when employees had the required qualifications. This ensures alerts are shown only when relevant, reducing unnecessary noise and improving focus for schedulers.

Default Area now visible in Fill Shift

The Fill Shift function now includes an optional Default Area column, accessible via the column selector. When enabled, it displays the employee’s default area from their profile, making it easier to assign shifts confidently, especially in multi-role or multi-area environments.


Avoid unnecessary errors when bulk editing shifts with no breaks

An incorrect validation message Break falls outside the shift time was previously shown when bulk editing shifts without a break. This has been fixed, allowing smoother bulk edits and reducing confusion when managing break-free shifts.

Template Manager

Shifts now sort by start and end time

We’ve improved shift sorting in Template Manager to make reviewing large templates more intuitive. Shifts are now sorted first by start time and then by end time, so shifts with the same start time display in proper chronological order. This matches the ordering in Roster Manager’s Role View for a consistent scheduling experience.

Break prompts now reflect rostered entitlements

When clocking out, the break prompt will now only appear if a break is actually due, based on the roster or break schedule. When shown, break times are automatically pre-filled, reducing unnecessary prompts, saving time, and helping ensure compliance with break entitlements.

Shifts before employee start date are hidden

Employees will no longer see shifts dated before their official start date when bidding. This prevents bidding on ineligible shifts, streamlines the bidding process, and supports compliance with employment start rules.

New Release! Humanforce HR July Update

Your feedback continues to drive meaningful improvements across the Humanforce HR platform. This month, we’ve delivered a series of updates designed to make onboarding smoother, contract generation more flexible, and the platform more intuitive and aligned to the way your teams work.

In July, we introduced improvements to contract templates and signature formatting, refreshed the look and feel of qualifications and issued tasks, and made a series of usability and design improvements across the platform.

Feature Updates

Custom Contract Template Variables
You can now create your own custom variables in contract templates for details you don’t need on the employee profile, such as an onboarding buddy’s name or a meeting point. Simply wrap your variable in curly brackets (e.g. {OnboardingBuddyName}) and customise as needed.

Time and Date Stamp on Printed Contracts
We’ve added time and date stamps to printed contract signatures. Previously only visible in-platform, this data is now included in downloaded or printed versions, even for historical contracts.

New Qualification UI
We’ve refreshed the Qualifications interface with a modern, streamlined design, making it faster and easier to submit and manage qualifications.

The improved layout reduces the number of clicks needed, helping you get tasks done more efficiently. Based on your feedback, we've also brought back drag and drop document uploads for a smoother, more intuitive experience.

Issued Tasks – Design Improvements
We’ve made visual enhancements to issued tasks, improving formatting consistency (spacing and indentation) and updating the top-of-page layout to better highlight subject, respondent, issue date, and due date.

Issue Onboarding – UI Enhancements
The issue onboarding screen has been updated for improved clarity and usability, making the steps and required actions easier to follow for new starters.

Bug Fixes and Improvements

  • Job Approvals with Duplicate Approvers: Fixed an issue where approval actions displayed incorrectly when the same person appeared multiple times in the chain (e.g. when they are both a supervisor and business unit rep).
  • Bulk User Account Issuing: Resolved issues where selecting users across multiple pages didn’t work as expected.
  • Onboarding Address Display: Fixed a display issue where the address type was incorrectly shown as “Postal” instead of “Home”. The data was stored correctly and now shows as intended.
  • SuperAPI Onboarding: Where super fund data is being processed, we now display bank and tax details immediately. A long-term UI improvement is also planned to advise users of progress and what the user can expect.

This version brings meaningful improvements across rostering, timesheets, APIs, and user interface functionality. Key updates include stricter roster alert controls, expanded filtering options, qualification enforcement, improved shift bid tracking, and a smoother API and timesheet experience. These enhancements reduce user error, support compliance, improve performance, give managers better control over planning and approvals, and through newly introduced integrations, system administrators and payroll professionals benefit from improved data transparency, accuracy, and control.

Roster Manager

Management > Rostering > Roster Manager

Rostering alert blocking shift assignments with conflicting leave or unavailability

Users assigning shifts in Roster Manager will now experience a blocking alert (rather than just a warning) when trying to assign an employee who is unavailable or on leave, if they have the Restrictive flag checked in the Roster Alert configuration.

This prevents accidental scheduling conflicts, helping managers avoid operational gaps and reducing the chance of employee dissatisfaction or disputes. It ensures only available and eligible staff are rostered, ensuring better operations and compliance.

New Filter by Location Group

A “Location Group” filter has been added to all Roster Manager views, enhancing the recently introduced Group By “Location Group & Location” option.

This makes it easier for large or multi-site organisations to focus on specific groupings within their scheduling operations. Managers can now streamline their view, making it easier to edit or analyse rosters by location groups.

Faster Notifications for Min & Max Period Hours

The Roster Manager now pre-checks an employee's Clock-in Settings to determine if Min/Max Period Hour alerts apply, significantly speeding up the generation of relevant warnings.

By avoiding unnecessary validations, this enhancement improves rostering speed, especially for larger teams. Users benefit from quicker feedback and fewer delays when scheduling.

Display of Assigned Shifts in Role View Grouping

Assigned shifts no longer appear as unassigned in Role View when the chosen Group By field is empty. The UI now correctly displays the assigned employee.

This prevents confusion and ensures shift ownership is always clearly visible, even when grouping metadata is incomplete. It simplifies auditing and reduces the risk of duplicate or missed allocations.

Mandatory Qualification Overrides in Roster Manager

The permission to override mandatory qualification requirements is now recognised in Roster Manager. This means now when adding, editing, or opening shifts, for either Employee's Role Qualification, or Employee's Location/Department Mandatory Qualification the permission will be enforced in Roster Manager. 

Users with the correct permissions can now intentionally override qualification warnings without being blocked, while those without permission are still protected. This supports operational flexibility without compromising governance.

Template Manager

Management > Rostering > Template Manager

Non-Attended Role Defaults Now Set Correctly

Shifts tied to roles configured as “Always flag as 'Non-Attended’” will now automatically inherit this setting when added or edited in Template Manager.

This reduces manual input errors and ensures shifts reflect correct attendance expectations by default. It helps maintain consistency across schedules and reduces compliance risk.

Timesheets

Management > Timesheets > Timesheets

Break Times Automatically Applied When Creating Timesheets

When adding new timesheets (manually, from default hours, or from rosters), break times are now auto-applied based on award profiles or rostered data.

This saves time and increases accuracy, especially in high-volume environments. It ensures award compliance and reduces the likelihood of incorrect timesheet calculations or payroll errors.

Smooth Timesheet editing

When editing timesheets Timesheet Admin users will no longer receive 404 error responses when lacking permission to view rate breakdowns.

Home Screen

Home > My Team

Shift Bids Pending Count Now More Accurate on Home Screen

The “Shift Bids Pending” tile in the Home > My Team screen now considers all assigned Locations and Departments and includes shifts up to 60 days in the future.

Managers now get a more accurate and actionable count of pending bids, helping them respond faster to workforce needs and avoid missed opportunities.

Integration Central

Management > Advanced> Integration Central  

Email Notifications on File Import Task Completion

Users can now opt to receive email notifications when file import tasks in Integration Central complete. Each notification includes the run log as an attachment, helping teams stay informed without waiting on long-running processes. This update boosts productivity by letting users shift focus while maintaining awareness of import progress. Note: run times are reported in UTC, and ad-hoc task names include a local-time timestamp for uniqueness.

WFM > HF Payroll - Ability to mark employee as payroll tax exempt

Users will now be able to mark employees as payroll tax exempt when Editing employee in Payroll. This enables businesses to manage their employee data and tax filings in a more accurate, fair and compliant manner.

HF PAYROLL Integration > Protect Termination Reason Data

This update prevents employee sync operations from overwriting a termination reason already set within HF PAYROLL. Employees in New Zealand with personal addresses can now be synced from HR to HF PAYROLL with accuracy. The system no longer sends an invalid “State” field to HF PAYROLL for NZ addresses, preventing sync errors. This reduces manual setup and streamlines the process of creating or updating employee records with international address structures.

Bulk Add Shifts Across Multiple Days in Roster and Template Manager

Creating recurring shifts across your open roster period is now faster and more flexible. The Bulk Add Shifts workflow in both Roster Manager and Template Manager now supports multi-date selection, allowing you to quickly apply the same shift pattern across several dates within your open roster range, for example, every Saturday for the next four weeks.

Just select the days you want, complete your shift details once, and all selected days will be populated with those shifts, saving you time and reducing repetitive input.

This enhancement is perfect for setting up repeat patterns with fewer clicks and greater accuracy.

New Grouping Option: Location Group + Location

We’ve added a new “Group By” view in both Shift and People views within Roster Manager: group by Location Group and Location. This makes it easier to visualise and manage rosters that span multiple sites or departments, based on your organisational structure. 

Note: this is already available in Role view.

Speed boost for Confirm and Read-Only shift updates

System performance has been enhanced when using the Confirm and Read-Only options for bulk shift updates. Managers can now apply updates more efficiently across all shifts with less system strain, saving time during high-volume rostering tasks.

Improved location visibility when creating shifts

In People View, managers will now only see employee locations they are authorised to view. This closes a gap where default employee locations were being returned even without visibility, preventing unintended shift creation.

Quick Access to Unpublished Shifts in Roster Manager

The “Unpublished Shifts” tile in the My Team home screen now takes users directly to Roster Manager (where available). This makes it easier for managers to jump straight into action and manage pending shifts using Humanforce’s recommended rostering tool. Users without access will still be redirected to Employee Roster.

Generate rosters directly from a template

You can now generate a roster directly from within Template Manager, giving you more flexibility to manage scheduling from a central location. A new Generate option is available via the kebab menu for standard templates (support for rolling and rotating templates is coming soon).
This action is only available for templates with lengths in multiples of full weeks (e.g. 7, 14, 28 days), and requires access to all Locations and Departments included in the template.
When generating, you’ll be prompted to confirm the deletion of any existing rosters that overlap with the same Location and Department combinations—other shifts will remain unaffected.

Tip: This feature requires the permission:
Rostering > Allow editing > Templates > Generate roster from template

This enhancement streamlines the workflow for building and updating rosters from predefined patterns, especially when managing complex or recurring schedules.

The shift costing service has been refactored to handle multiple shifts at once. This enhancement reduces database hits during costing operations, leading to faster, more efficient calculations across both rosters and timesheets, helping to streamline your payroll preparation.

We’ve overhauled the logic behind bulk pay rate updates to ensure accurate handling of both future and historical revisions. This means:

  • No duplicate revisions when editing a rate for a matching effective date
  • Clean audit trails with properly backdated or forward-dated changes
  • Inherited charge-out rates for consistency in billing
  • Accurate percentage or fixed increases based on the correct prior revision

These improvements helps to reduce errors, save time, and ensure data integrity for payroll and compliance.

Improved handling of single and bulk pay rate changes to support audit logs

We’ve improved pay rate management by making Rate, Charge Out Rate, and Effective Date fields read-only when editing single existing pay rates. This change prevents unintentional updates to the existing rate and ensures users manage changes through proper pay rate revision workflows, maintaining accurate audit history.

Existing data has been cleaned up using the latest edit time to set a single primary contact, and validations have been added to prevent multiple primaries. No impact to WFM Work App, Thrive, or existing payroll imports.

We’ve enhanced security and privacy in Workforce Analytics by aligning employee field-level permissions with field visibility in key reports. Users with restricted access will no longer see hidden personal fields in the Employee Qualification Data, Employee Basic Details, and Employee Extended Details reports. This update helps prevent unintended data exposure and aligns report visibility with user permissions.

More accurate leave balance visibility controls

We’ve refined the logic behind the “Hide balance for self or others” setting to ensure it applies only to the specific leave shift types it’s enabled for. Previously, enabling this option could unintentionally hide all leave balances. Now, you get precise control over what’s visible, protecting privacy without restricting access to unrelated leave information.

Managing lots of Access Levels? This change delivers improved performance of the Access Level screen by optimising data retrieval. Enjoy quicker load times and improved efficiency when managing a large number of access levels.
